Reviewing the updated logistic doc, a few additional questions:

  1. Does your team need assistance moving the chairs/sofa during the breaks in the auditorium? – yes.
  1. Do you have the podiums for the breakout sessions, or did you need ours? – we have podiums
  1. Banquet Hall Reception: I have chatted with Megan about this, but I will be providing linens for the cocktail tables and dining tables, but any buffets/bars/vendors needing linens are not planned to come from me, correct? -our cater, Venue, provides the linens.
  1. Breakout Room Sets: Do you need our assistance adding/removing chairs from stage depending on speaker needs? – no, we will get this covered by our staff volunteers.
  1. Tear down on Thursday — I see it is listed to strike the registration booth once the USDA session begins, does this include signage & other prefunction items? - Yes

I can answer a few of these questions and I’ll let Amber chime in on the rest.

 

  1. Will you be updating the 2025 Draft Session Proposals doc with the presentation names for each presenter/session? I have asked each session leader to provide timing by next Monday, April 21 if they would like to utilize your timekeeping option and that information will be stored in this document.   2. What is the best way for us to access those presentations? I can share a onedrive link with you & you can upload as you receive the final copies, or if you have a system that allows sharing you could share with me and I can download them to our system? Open to thoughts.  I have created a OneDrive link here: ​Folder icon Presentations Let me know if you have any trouble accessing it. Inside the main folder, I have this divided by room, by date and then by time/session. Presentations will be numbered according to order, then include the session number, and then the presenter’s last name. We are asking all speakers and sessions leaders to arrive 10-15 minutes early to the session to ensure you have their current presentation and the order is correct. This worked well when we did it this way in 2023.
  3. When are your presentations due from presenters? April 21, although I’m guess our speakers won’t stick to that…
  4. Mondays from Field to Forum event - what (as far as prefunciton signage, reg desk, etc.) needs to be set prior to this meeting? We will have the AV set by Noon, but not sure on timeline or need for prefunction items. I will let Amber answer this one!
