Spring Cleaning: Making Space for What’s Next
Spring has a way of nudging us to open the windows, clear out the clutter, and take a fresh look at how we’re doing things. And while most of us think about spring cleaning at home, it’s also a great mindset to bring into our work.
Change is always happening—new tools, new processes, new priorities—and adapting to it works best when we don’t try to do it alone. This season is a good reminder to check in with one another, share what’s working (and what isn’t), and look for ways to simplify together. A little cleanup now can make room for better workflows, clearer communication, and fewer headaches down the road.
Ongoing collaboration is what keeps everything moving forward. When we lean into teamwork and build real synergy across roles and teams, change feels less disruptive and more like progress. Fresh ideas surface, problems get solved faster, and we’re better prepared for whatever comes next.
So as we “spring clean” our processes and habits, let’s keep talking, keep partnering, and keep supporting one another. We’re always stronger—and more adaptable—when we move forward as a team. Thanks for all that you do and for being part of the team!
Don't Forget!

User Check Out Best Practices
* Checking out users in Production should only be used for troubleshooting purposes. Do NOT perform any actions as the user you have checked out in Production. If you need to perform an action as a different person for testing or validation, use a non-Production instance (QA or TST).
* When testing in TST or QA, check out users that follow specific scenarios to ensure the process works for a variety of circumstances.
* More information on the process for checking out users can be found in Sharepoint.<https://urldefense.com/v3/__https://uofnebraska.sharepoint.com/sites/Enterp… >
* When checking out a user in Production, enter specific details in the Reason field. Check out reasons should include details that would assist if an auditor needs additional information on the purpose or any troubleshooting is required.
Role Check Out Best Practices:
* More information on the process for checking out roles can be found in Sharepoint.<https://urldefense.com/v3/__https://uofnebraska.sharepoint.com/:w:/r/sites/… >
* When you check out a role in Production, your Reasons should be specific. Here are some examples:
* Adjust enrollment for {NUID}, {Course}, {Term}
* Verbiage changes on eform: NBX_EFORM_NAME
* Add or remove Workflow contact: Workflow IC UNx Visiting, NUID and/or email(a)campus.edu<mailto:email@campus.edu>
* When you have completed the process you needed the role for, use the Check In Role process to check the role back in.
Review/update access lists:
* Yearly Audits:
* Check out role users
* User groups
Sharing SIS data with a Third Party
* All data extracts need to be documented via a Change Request (CR) even if they don't require any work on the part of NeSIS.
* Please contact your Functional Coordinator for assistance and provide the following data:
* Vendor
* Data shared - tables/fields, WebFOCUS fex or SQL or document of items
* How the data is being shared - WebFOCUS/Query, nightly feed, one-time file upload, etc.
* Review the list of Integrations and Extracts<https://urldefense.com/v3/__https://uofnebraska.sharepoint.com/:f:/r/sites/… > and provide any updates to your campus Integration Team member

"Springing" Forward
There’s something about spring that just feels hopeful. The days get a little brighter, the air feels lighter, and everything around us starts stretching, growing, and moving forward again. It’s the perfect reminder that progress doesn’t always have to be loud or flashy—sometimes it’s steady, quiet, and powered by people simply showing up and doing great work every day.
As we “spring forward" this weekend, I want to take a moment to say thank you. Truly. Your dedication, flexibility, and commitment don’t go unnoticed. Whether you’re tackling complex challenges, supporting others behind the scenes, or keeping things moving when the pace picks up, your efforts matter—and they make a real difference.
This season is all about momentum. We’re building on what we’ve already planted, learning from what didn’t quite bloom, and carrying forward the energy that comes from working together as a team. It’s not always easy, but you continue to meet the moment with professionalism, creativity, and a willingness to adapt—and that’s something worth celebrating.
So as we step into longer days and new possibilities, take a moment to appreciate how far you’ve come. Take pride in the work you do. And know that your contributions help shape what’s next for all of us.
Here’s to fresh starts, forward motion, and a season full of growth, made possible by an incredible team. Thank you for everything you do!

A Strong Start and Looking Ahead
It’s hard to believe we’re already well into February, but first—I want to take a moment to celebrate a successful start to the semester. As always, the beginning of term brings a whirlwind of activity, and you all handled it with professionalism, flexibility, and a whole lot of teamwork. From problem-solving on the fly to supporting our campus partners and students, the work you do every day truly makes a difference.
As we move through the rest of winter, I’m already looking forward to the energy that spring brings. Longer days, fresh momentum, and new opportunities are ahead, along with continued projects and initiatives that will keep us moving forward together. While the pace never really slows down, this is a great time to reflect on what we’ve accomplished and to stay focused on working smart, sharing knowledge, and supporting one another along the way.
Let’s keep the communication flowing, lean on each other’s expertise, and continue building strong partnerships across teams. Collaboration is one of our biggest strengths, and it’s what helps us succeed—even when things get busy or complicated. The upcoming HEUC conference is one of our best opportunities for collaboration so your feedback on the content and presentations can help ensure that it continues to provide value.
Thanks again for all that you do. I’m grateful to work alongside such a dedicated and talented group, and I’m excited to see what we’ll accomplish together as we head into the spring.

A Fond Farewell
Just in case you haven't heard the news - Dixie Teten, NeSIS Admissions Functional Coordinator, has announced she is stepping away to embark on the next chapter in her life - Retirement! Almost ten years ago, Dixie came to NeSIS after 20 years at PSC in the midst of the initial NU undergraduate shared application project - so she got thrown into the fire immediately! After a successful implementation, she has worked closely with the Admissions directors, other AD team members and the Enterprise Tools coordinator to continue to enhance the shared admissions application and convert other Admissions applications to the eform tool and all applications to utilize the NeSIS managed backend process. Though this yearly Admissions application enhancement process required a lot of her time, she also coordinated all other Admissions processes.
In the future, Dixie is looking forward to traveling, enjoying time with her family and being a full time grandma. Please join us in wishing Dixie well on her retirement and thank her for all of her hard work over the years!

Admissions Application - Here we go again!!
It's that time of year again when the NU campuses and State Colleges review and revise their Admissions applications. Enhancement requests have been submitted and the groups are currently finalizing the list of changes. In late February, the NeSIS team will begin working on implementing the approved updates in the lower instances. Frontend changes are previewed, tested, revised, and approved in March so technical teams can start working on backend setup changes in April. Technical staff from the campuses/colleges are given the month of May to make any necessary branding changes and in June and July the admissions staff thoroughly test the applications in the TST and QA instances before migration to production occurs in late July.
Every campus/college has at least one eform application and some have more than one. Both eform and third-party applications utilize the same backend process to import the application data into PeopleSoft. The annual admissions application enhancement cycle provides a consistent timeframe for streamlined resource allocation and consolidation of testing efforts which is a huge benefit to everyone involved. Here's to the start of another successful cycle!

Query Building Best Practices
* Query names should follow the NeSIS PS Query Naming standards<https://urldefense.com/v3/__https://uofnebraska.sharepoint.com/:b:/r/sites/… >.
* Avoid building and/or changing queries in PRD. All queries should be built/changed in a lower non-production environment (TST or QA) and then migrated up. This will help to ensure that queries run successfully and efficiently in PRD.
* Make sure to validate the query in TST or QA before requesting the move to PRD
* Public queries which are named appropriately can be migrated by a user using the automated Query Move Request process<https://urldefense.com/v3/__https://uofnebraska.sharepoint.com/:w:/r/sites/… >.
* The automated Query Move process is not available for private queries and may be limited during the PeopleTools upgrade cycle. To have a query moved manually:
* Send an email to nesis.query(a)nebraska.edu<mailto:nesis.query@nebraska.edu>.
* Include the query name and what environment the query is in and what the destination is (not all moves need to be PRD).
* Please allow 24 hours for response time.
* If an issue with a query is found in PRD, you should migrate the query down to QA, fix the issue and validate before migrating the query back to PRD.
* The NeSIS Sharepoint site contains many resources<https://urldefense.com/v3/__https://uofnebraska.sharepoint.com/sites/Enterp… > on PS Query and writing queries.

1098-T Reporting Updates for NeSIS Campuses
As tax season approaches, the University of Nebraska and the Nebraska State College System are preparing to generate IRS Form 1098-T for students. This form is used to report eligible tuition and fees, along with certain payments that may affect a student’s education-related tax credits. Most students will receive a 1098-T if they had qualified charges or payments during the calendar year. By IRS requirement, forms must be furnished to students no later than January 31.
NeSIS campuses continue to use the IRS-required “Payments Received” reporting method, which replaced the older “Amounts Billed” approach in 2017. Using this method means the amounts shown on the form reflect actual payments posted within the tax year, not charges.
How the 1098-T Process Works in PeopleSoft:
PeopleSoft includes a series of delivered steps that help campuses prepare accurate and timely forms:
* Creating 1098-T records
* Validating addresses and SSNs
* Generating PDF forms for students
* Building the IRS electronic submission file
Students can give electronic consent and access their forms through the Student Dashboard, where they can view current and prior-year forms, drill into box amounts, and print an IRS-approved copy.
These processes support consistent, compliant reporting across all NeSIS institutions and help ensure students have the information they need for tax filing.

2025 Accessibility Review Project Update
Phase 1, focused on Error Logging and Remediation, is nearing completion and is expected to conclude by the end of the year. During this phase, NeSIS implemented the Axe-core tool to identify accessibility issues while campus communities conducted testing for the fall PUM maintenance. Weekly accessibility error reports have been generated and securely stored in the NeSIS SharePoint site. and campus portal administrators have been collaborating through weekly meetings to address and resolve identified issues.
Phase 2, which will involve Keyboard-Only Navigation Testing, is scheduled to commence in January. Planning for Phase 3, Screen-Reader Testing, is underway; however, resources to support this phase have not yet been identified. Phase 3 is anticipated to begin in early 2026.
The accessibility review team remains on track to meet the compliance deadline of April 2026. At present, approximately 50% of the scheduled work has been completed.

Giving Thanks for Our Amazing Team!
As we enter this season of thanksgiving, we just want to take a moment to say THANK YOU to each and every one of you. Your hard work, dedication, and positive energy have made a huge impact—not just on our projects, but on the students, faculty, and staff we support every single day.
This fall, we tackled the Fall 2025 maintenance project, and wow—what a team effort! From planning to execution, you all showed what collaboration and commitment really look like. And that’s just one highlight. Throughout the year, you’ve been juggling multiple projects, solving problems on the fly, and keeping everything running smoothly behind the scenes.
Whether it’s answering questions, troubleshooting issues, or making sure systems are ready for the next big thing, your everyday work matters. It keeps our campuses connected and our community thriving.
So here’s to you—the people who make it all happen. We couldn’t do it without your expertise, creativity, and teamwork. Let’s finish the semester strong and keep making a difference together!

Fall 2025 Campus Solutions Maintenance Wrap up
We are anticipating a successful application of the Fall 2025 Campus Solutions maintenance to the NU/SC Production instances this Sunday evening to bring another maintenance application cycle to an end. Due to the testing efforts of all of you, we were able to identify and resolve over 30 issues that would have caused issues in production if they hadn't been found. In addition, we asked you to test all of your dashboard and eforms to gather information for the accessibility project, which required even more of your time, but is providing valuable information for the NeSIS team and campus portal admins.
It's been said over and over, but we realize this requires a lot of time and effort on your part and we truly are grateful for your efforts.

EDU.API: Shaping the Future of Student Information System Integration
Higher education institutions face a growing challenge: managing dozens of integrations between Student Information Systems (SIS) and other campus applications. At NeSIS, we currently support around 60 integrations, plus additional connections through tools like WebFocus and Campus Data Marts. This complexity is not unique to us—it’s a widespread issue across the sector. Over the past few years, vendors have aggressively marketed solutions such as iPaaS platforms and Enterprise Service Bus technologies. While these promise easier integration, they often introduce proprietary data schemas and formats, locking institutions into costly, customized ecosystems. In many cases, this means trading one problem for another.
To address this, the higher education community launched EDU.API, an open standard designed to simplify and standardize SIS integrations. Its goals are clear:
* Reduce cost and complexity of implementing and maintaining integrations.
* Promote standardized institutional and student data models, making SIS data more consistent, interpretable, and reliable.
What’s Coming with EDU.API?
The initiative is rolling out in phases:
* Version 1 (Enrollment, Curriculum, Offerings, Academic Term) was developed in 2024 and is now in production at NeSIS.
* Version 2 (Class Details, LMS, Grading, Student Bio/Demo) was released in 2025, with NeSIS planning implementation by the end of 2026.
* Version 3 (Advising, Planning, Tutoring, Transcripts, Credentials) is expected in 2026.
This phased approach ensures institutions can adopt standards gradually while preparing for the next generation of SIS platforms.
Why It Matters
Standardizing integrations around open data models positions universities for smoother transitions as vendors move toward SaaS-based ERP systems. It also reduces vendor lock-in, improves security, and accelerates application onboarding—similar to how web standards made websites work across all browsers.
Global Momentum
EDU.API builds on the success of 1EdTech, the organization behind widely adopted standards like OneRoster, Open Badges, and LTI. Institutions worldwide—led by board members Princeton University and Boise State—are actively shaping EDU.API’s future. As more universities include EDU.API in RFPs, vendors are aligning their solutions to support native integrations, accelerating adoption.
Get Involved
Learn more at 1EdTech EDU.API. Advocate within your teams, participate in governance and testing, and encourage vendors to certify their solutions. Together, we can make SIS integration simpler, more secure, and future-ready.

2025 Accessibility Review Project Update
A huge thank you to all of the campus testers who went above and beyond testing this PUM cycle! In addition to the 3 PUMs, we asked you to test all of your campus dashboards and eforms to identify the accessibility issues so the portal administrators could resolve those issues prior to the federal deadline this spring. The endeavor was a huge success! We identified hundreds of issues the portal admins have been working to mitigate. Several accessibility projects will be going to PRD with the PUMs and others will be following up in the coming weeks. Although it's not the end of the accessibility review project and we still have more to do, this was a huge step in the right direction.

Fall 2025 Campus Solutions Maintenance Kicks Off!
They say that the only things that are sure in life are death and taxes, but as a member of the NeSIS community, you can add two other items to the list - maintenance and testing! Between PeopleTools updates, Campus Solutions PUMs (patches), Enterprise Tools enhancements, PRPs, system mods, enhancements and bug fixes, along with campus Eforms and dashboard projects, testing is a never-ending task - on top of all of your other regular duties. While testing seems to be a never ending and sometimes unnecessary task, it is vital to the ongoing health and wellness of the overall NeSIS ecosystem.
Why so much maintenance?
The NeSIS ecosystem is made up of many moving parts and each part requires maintenance to remain at optimal performance. Some of this maintenance is just routine patches for known issues and security vulnerabilities and some are major upgrades that contain new features and enhancements and more major changes. Whether big or small, each change can have an impact, and while these impacts are usually identified and communicated ahead of time, sometimes they aren't seen until the system is being used in a normal capacity.
What types of maintenance are there?
There are many different types of maintenance and acronyms/terms that you may hear about:
* Campus Solutions PUMs (PeopleSoft Upgrade Manager) - PUMs are released by Oracle three times a year and contain enhancements, changes and bug fixes for the Campus Solutions applications. Some of these changes are necessary to allow us to comply with regulations, such as annual changes to be able to produce and distribute 1098T tax forms to students. We are sometimes able to delay applying a PUM if it is not needed right away.
* PeopleTools Upgrades/patches - PeopleTools is the underlying structure of PeopleSoft and contains many of the common tools that are used across all areas of Campus Solutions such as PS Query and Process Monitor as well as the overall look and feel of the system. Upgrades and patches may contain new functionality, as well as fixes to bugs and known security vulnerabilities. Recently, NeSIS has been upgrading PeopleTools every year or so and applying smaller PeopleTools patches more frequently with the Campus Solutions PUMs.
* PRP (PeopleSoft Release Patchset) - A small, targeted patch that provides a fix or specific new functionality. These don't require the same degree of testing as a regular PUM and can be migrated to PRD quickly.
* Exadata maintenance - Exadata is Oracle's Cloud at Customer infrastructure which includes the database that stores PeopleSoft data and other layers. Maintenance is applied approximately quarterly by the NeSIS Database administrators and typically doesn't have any impact or require any testing.
* Enterprise Tools changes/enhancements - The Eforms and Dashboard tools have matured and become pretty much stable, but still require some bug fixes or have occasional enhancements made that need to be tested.
* NU ITS Infrastructure changes/upgrades - Even though the NeSIS team maintains the PeopleSoft system, it utilizes many infrastructure components that are maintained by the NU ITS team. So any changes to items such as SailPoint, Duo, Proofpoint, VPN, VMware, firewall, federation, networking, Grouper, etc. may have potential impacts to the NeSIS system and/or its users. Some of these changes may require prior testing to ensure everything works as anticipated.
* Change Requests (CRs) - Any change that is made to the system requires a CR to be submitted/approved. The change could be as small as a change to a field name or it could be an entirely new process or integration. Any change that is made could have an impact other places that is not always identified initially, so testing is always required as it migrates.
Why so much testing?
The goal of applying any change or maintenance is to be able to perform your normal processes in the system after the change has been applied with as little interruption as possible. In order to do that, the system needs to be thoroughly tested whenever a change is applied to ensure that everything is performing as expected. As part of preparation for a PUM or PeopleTools upgrade, the NeSIS team spends time evaluating the change to determine its impact and mitigating any issues or errors. But, since the campuses are the biggest experts on their data and processes, it is crucial that they test those processes, report any issues they discover and work with the NeSIS team to get them resolved.
Do I really need to test everything?
Since Oracle provides release notes outlining the changes that are being delivered in the PUM and the NeSIS team does their initial analysis to see how our customizations will be impacted, it is tempting to only concentrate on testing just those items and assuming everything else will be all right - or to wait for another campus to test a process and accept their results as your own. However, experience has shown that many times there are unanticipated impacts or things that were missed because campuses do things differently. So it is important that each campus test all of their business processes and scenarios to ensure that nothing gets missed.
For this PUM cycle, it is more important than ever to test all of your Eforms and dashboards since we are using that as a way to identify items that need to be addressed as part of the WCAG 2.1 AA Accessibility review. A tool is being used to scan each page and identify items that don't meet accessibility standards, but that page needs to be touched for the scan to be performed. So unless every page in every eform and dashboard is accessed, there is a chance that not everything will be found and corrected.
What can I do to prepare?
Here are some things you can do to get ready to jump into Fall 2025 testing:
* Visit the Fall 2025 Maintenance info page<https://urldefense.com/v3/__https://uofnebraska.sharepoint.com/sites/Enterp… > in SharePoint which contains the migration schedule, testing dates and links to documentation and training resources. Any known issues or other items related to the Fall 2025 maintenance cycle will be listed here, so check back often to see what's new.
* Watch the Testing Best Practices<https://urldefense.com/v3/__https://uofnebraska.sharepoint.com/sites/Enterp… > webinar to learn more about maintenance and testing along with some best practices, tips and tricks.
* If you find an issue while you are testing, submit it to the Issue log using this form<https://nusupport.nebraska.edu/TDClient/33/Portal/Requests/TicketRequests/N… > and choose “PUM” for the Maintenance Cycle.
* If you have questions about what to test in your area, contact your functional coordinator.

Cybersecurity Awareness Month
Cyber threats are constantly evolving, but by practicing a few simple habits, we can strengthen our defenses at work and at home.
This year’s theme from the Cybersecurity & Infrastructure Security Agency (CISA) is “Practice the Four Essentials.” These steps are easy to follow and have a huge impact on our security.
The Four Essentials
1. Update software promptly
Install updates as soon as they’re available to close security gaps.
2. Use strong, unique passwords
Long, complex, and never reused. A password manager can help.
3. Enable multifactor authentication (MFA)
Add an extra layer of protection on accounts—especially email and financial logins.
4. Recognize and report phishing attempts
Pause before clicking links or opening attachments. If it looks suspicious, report it to the Security Team.
What You Can Do
* Put the Four Essentials into practice every day
* Share cybersecurity tips with your coworkers and family (Practice these four essentials to stay safer online<https://urldefense.com/v3/__https://www.cisa.gov/sites/default/files/2025-0… >)
* Report suspicious activity right away—early detection is key

2025 Accessibility Review Project Update
October is finally here! For the past few months NeSIS and the campus portal admins have been fixing accessibility issues found during initial NeSIS testing. More than a dozen different change requests have been submitted for this project thus far. However, we are excited to have you, the campus testing experts, get in there and test PeopleSoft, campus eforms, workflows and dashboards. We know there is a lot to test, and it is very important we test everything, which is why extra time has been allotted in the PeopleSoft PUM schedule, and the functional coordinators have scheduled additional group testing sessions to assist you in allocating dedicated time for this testing. The accessibility scanning software will be running in the background identifying remaining issues while you test. Reports will be generated and provided to the portal administrators so issues can be addressed, and we can reach the accessibility compliance mandate by this spring.
Thank you in advance for your willingness to help us make the University system accessible to all!

Falling Back into Another Year
Can you believe it? The students are back on campus, temperatures seem to be cooling down, and pumpkin spice everything is creeping back into our lives. That’s right—fall is officially here, and with it comes the start of a new school year and a fresh wave of energy.
This season always feels like a reset - it’s a time to refocus, reenergize, and maybe even reorganize that desk (no judgment if it’s still rocking summer chaos). Even though summer is usually a somewhat slower time, there was still a lot going on and a lot was accomplished, so your dedication hasn’t gone unnoticed. The way you’ve handled the challenges that arose and kept things moving—especially during busy transitions—is seriously impressive.
So as the leaves start to turn and the days get a little crisper, let’s keep that momentum going. Keep showing up, supporting each other, and bringing your best to everything you do. We’ve got exciting things ahead, and every bit of effort you put in helps us get there.
Thanks for all you do. Let’s make this year one to remember!

NeSIS Award Winner
The latest NeSIS award is Shareen Thewke for her outstanding work and going above and beyond in a number of efforts recently. Firstly, she built a query that calculates totals to validate the FA PRP fix and also trained Tracy Grauer and a new person in the Student Financials office at UNL on the Comm Gen tool - as you may know, comm gen is complex. These are just a few examples of how Shareen identifies a need and steps up to solve it by thinking outside the box. She is a super star that continually provides an advanced level of service – thank you Shareen and congratulations!

Dealing with Fake Admissions Applications
Fake admissions applications are a very hot topic! The Admissions teams on all campuses have been dealing with fake applications for quite some time, and it is a significant and growing topic of concern, consuming valuable time and money. It is a struggle to manually review, investigate and clean up the influx of fraudulent applications with the goal being to catch them early to prevent them from getting far into the college process for a multitude of reasons. Then, there is the time that is required from staff to get the cleanup steps completed in a timely manner to avoid as many trickle down effects in other offices across the campus trying to prevent a ghost student from slipping through. The idea is to identify and wipe out data so that the NUID assigned to the fake applicant does not continue to receive access or services and hopefully avoid security vulnerabilities, fraudulent claiming of financial aid money, and taking spots and resources away from real students. The reality is that these ghost students may not be identified as fake until they don’t show up for advising appointments or school.
The admissions team has discussed fake applications, and have determined the following processing steps to take to make sure people know that the assigned NUID should not be considered a valid ID when looking at an account in PeopleSoft or SailPoint.
* XXXDUP- the last name
* Wipe SSN
* Change email address to bad.application(a)campus.edu<mailto:bad.application@campus.edu>
* Delete application via delete application process
* Remove security roles: The NeSIS team developed a way to automatically remove the roles from applicants deemed as fake and identified with XXXDUP- using the Dynamic Applicant Role Query. This process runs four times per day.
Queries have been created to identify fake applications that have remaining steps to complete in the fake applicant clean-up process. The queries will be shared with the campuses and added to the clean-up reports for quarterly review to ensure proper handling for all parties.
NeSIS is also researching the possibility of using AI to identify some fake apps and potentially stop them before the application completes processing. A group including members from each campus admissions office will be discussing the common things to look for when trying to identify a fake applicant and determine a set of rules that could be incorporated into identifying as many of them as we can to prevent the application from completing.

NU External Organization 2-year/4-year Designation Clean Up
The NU schools are working on cleaning up external organizations in PeopleSoft that are either missing the 2-year/4-year School Type designation or have a designation that does not match UNL's current degree audit system (Uachieve). It is important that these match to ensure that students have the correct 2-year transfer credit limitation applied to their records for degree audit purposes.
More than 5000 external organizations were pulled for review based on settings in Uachieve and the student information system to see if their School Type matched.
The comparison was broken down into 4 groups listed below along with the number of external orgs that fell into each group:
* 4-year (UNL) vs. 2-year (PS) - 38 (in the process of being corrected)
* 2-year (UNL) vs. 4-year (PS) - 67
* 4-year (UNL) vs. Other (PS) - 151
* 2-year (UNL) vs. Other (PS) - 707
The NU external education group is in the process of making the appropriate changes so the two systems are in alignment. A query is available (NBACC_EXT_ORG_WITH_TR_CR) that will help ensure all students have the proper amount of transfer credits for the external organizations that are updated.

Getting Creative with Delivered Tools: Meeting Federal Regulations without Extra Costs
Sometimes the best solutions are the ones already in your toolbox. Over the past month, our team faced two new federal requirements in financial aid reporting. Instead of turning to custom development, we found a way to meet these regulations by leaning into the delivered PeopleSoft tools we already have. The result? Compliance achieved, money saved, and no added strain on our development team.
Project #1: V4 and V5 Identity Verification Reporting
The Department of Education recently rolled out new requirements for reporting V4 and V5 identity verification results through the FAFSA Partner Portal (FPP). This could be done by manually going to the FPP site and entering each student in manually. However, by building a simple process using Common Attribute Framework (CAF) fields and queries, we were able to generate the required CSV file for submission. Staff can now record verification results directly in PeopleSoft in the CAF fields, run a query, and produce a file ready for upload to FPP. No customization. No outside vendor. Just delivered functionality doing the job it was meant to do.
Project #2: FISAP Total Income Fix
Around the same time, Oracle identified an issue with missing “Total Income” values in certain ISIR records. This had implications for the FISAP (Fiscal Operations Report and Application to Participate), which relies on those numbers. To help staff complete the FISAP accurately, I created a set of queries that calculate Total Income using the Department of Education’s official formulas. These queries allow users to quickly verify and correct values, ensuring reporting accuracy without headaches (or expensive add-ons).
Why This Matters
Both of these projects underscore a simple truth: sometimes the tools we need are already at our fingertips. By leveraging delivered PeopleSoft functionality, we avoided new development work, saved money on external products, and provided our staff with practical, easy-to-use solutions.
Compliance doesn’t always have to mean complexity. With a little creativity and some query know-how, we can meet federal requirements, save resources, and keep our systems running smoothly. And that’s a win for everyone!

2025 Accessibility Review Project Update
Substantial progress is being made in the accessibility review project. Weekly reports are being run out of the TST environments for the campus portal admins which lay out violations found in the campus dashboards and eforms and provide the developers with resources to address each individual item listed. We have held three joint issue resolution working sessions this month where NeSIS and the NU/SC portal admins have met collectively to work on campus items. These sessions provide a collaboration space where people can ask questions and share knowledge for locating and updating code.
We hope to address as many overarching issues as possible before the PUM maintenance testing begins next month. Once the PUM is applied in TST, we plan to clear out the accessibility tables and start over with a fresh clean set of reports.

Updates on the Stellic Degree Audit System Implementation Project
The project to implement Stellic, the new degree audit system, is still in full swing for the NU and SC schools. Each school provided an update on where they are and what their next steps are.
UNK - Lisa Neal, University Registrar
* UNK plans to implement transfer credit and registration in the next catalog year.
* We will be doing progress reviews in Spring 2026.
* We received grant funding to purchase the full Care packaging allowing us to import information from Canvas and schedule advising appointments. We intent to implement it as soon as we can, and the timeline will depend on whether we need a contract addendum or if we can begin immediately. I'm waiting to hear from the Stellic sales team. We will also be hiring a grant-funded position for onboarding and training in Stellic.
* UNK will transition to a project success manager for the audit over the next month. For now, Jon will handle transfer implementation and Joshua will handle registration implementation.
UNL - Steve Booton, University Registrar
* UNL is live with degree audits for four (4) of their ten (10) colleges.
* Two (2) more colleges will go live shortly with another undergraduate college to go live later this fall.
* The remaining three (3) undergraduate colleges will go live in late fall and during the spring semester.
* We are currently working on academic pathways and discussing with our campus community how we hope to use the pathways for both current students as well as prospective students.
* Transfer credit and registration are planned for implementation during this catalog year.
* Finally, I just met with college and academic leadership. They are cheering on the project and excited for us to keep going!
UNO - Matt Schill, University Registrar
* UNO launched Stellic to over 4,000 students (Fall 2024 catalog and forward)
* More than 3,600 degree audits built and 500+ Academic Pathways created in past and future catalogs.
* Stellic will be available to all degree-seeking Undergraduate and Graduate students in Spring 2026.
CSC - Melissa Mitchell, College Registrar
* CSC went live with Stellic Graduate student degree audits on Tuesday, September 2 for our faculty and staff. Students will have access beginning Monday, September 8.
* We have communicated this new platform to our students, staff and faculty and everyone seems to be excited.
* We have training with Stellic on Friday, September 5 that should be very informative for all our graduate faculty advisors that will cover degree audits, substitutions and planner.
* This is phase one of the Stellic implementation with more enhancements to be rolled out in the future.
PSC - Heather Rinne, College Registrar
* Stellic audits are live for advisors and academic staff.
* Students will go olive by the end of September. The student population includes anyone with admitted terms of 1248 and newer in all careers and programs.
* PSC has also begun working on the Pathways and plans to have those ready before advising begins in January. We're hoping to have at least some of them available when we go live to the students.
WSC - Rebeka Wilson, College Registrar
* WSC plans to go live with the BST - Business/Technology school in January with all other schools in the Fall of 2026.

Admissions Application Updates Completed
The Admissions Application Enhancement cycle was completed for this year as of July 28th when we pushed 21 projects into the production environments, just in time to begin thinking about next year’s cycle. Each year in October, the admissions team is asked to start their wish list for enhancements that they would like to propose for their admissions eform applications or for the backend processing configuration that manages 20 different undergraduate and graduate applications across the University of Nebraska and Nebraska State College institutions. We solicit campus feedback for any changes to the eforms, setup and backend changes, operational dashboard modules, revisions/additions to accommodate any policy changes and any other enhancements. All of the enhancement requests or changes are due each year on January 15th.
Review of those requests begins immediately, determining the extent, size and effort for each change, prioritization, as well as discussion and coordination of changes that affect all of the applications. All of the different campus applications share the backend module and therefore, all changes must be vetted through all of the campuses to come to agreement on proposed changes and they must follow the same timeline. We then coordinate the building, revisions, development, backend setup changes, and progression of all of the changes to be moved together so that all campuses can validate and test the behavior of the changes for all of the applications. January through May was devoted as time for collaborating ideas, communicating those ideas out, reviewing requirements, developing and reviewing the eforms, NeSIS development of new requirements, backend setup, rebuilding views and campus development to hit the target of June 1st to begin full testing in the TST environments followed by testing in QA in July. The testing includes several joint and individual testing sessions for both NU and SC during the summer months. The eform applications, NAUTH authentication process, front end dashboards, backend processes, data integration modules, application payment processing, operational dashboard modules is tested each year during this testing window.
This new admissions application cycle era began for NeSIS in 2015 with an initiative by the University of Nebraska system to have one common admissions application that could be shared among four University of Nebraska campuses, including the University of Nebraska at Kearney, University of Nebraska-Lincoln, University of Nebraska at Omaha and Nebraska College of Technical Agriculture. The application would be utilized for incoming Nebraska freshmen and transfer undergraduate degree-seeking students to apply to multiple NU campuses at the same time within one application. After much planning, designing and collaborating, the NU shared application went live August 1, 2016. The success story of that project instilled a desire by other campuses that eventually led to the end of the old OAA (online admissions application) days and into a new era for admissions applications and processes. Since 2015, the admissions application annual enhancement cycle projects have expanded to accommodate applications for all University of Nebraska and Nebraska State College campuses that all have different needs and requirements and are supported by the new backend processing configuration.
We had approximately 30 enhancements that were approved and implemented in this year’s Admissions Application Cycle. A few highlights for enhancements include:
1. Phone number and email are both being sent to Sailpoint to be included in the enhanced registry scoring to determine whether the overall data points sent will match, suspend or create.
2. Add Text Opt-in checkbox and add it to the views to incorporate a response to CRM teams.
3. Modify the collection of ACT test scores to align with the modified ACT test scores allowing science to be optional and adding the collection of the STEM score on the application.
4. Require prospective applicants to verify their email address by entering it with a matching email address a second time during the NAUTH account creation.
These projects require a large commitment for all involved and many hours of work and dedication have been spent planning, developing, testing and implementing the applications and yearly enhancements. Thank you to all involved for the time and collaboration on all of these projects!

2025 Accessibility Review Project Update
NeSIS has been evaluating the results from our internal accessibility testing. We submitted 3 sprint projects to address findings. Those projects are currently in various stages of development/testing. Since many of the campuses use the NeSIS framework for their dashboards, addressing the NeSIS issues should clean up some issues before the PUM testing results generated this fall.
For more information, refer to the NeSIS WCAG 2.1 AA Accessibility page<https://urldefense.com/v3/__https://uofnebraska.sharepoint.com/sites/Enterp… > in SharePoint.

Coming Soon!! New Multi-Job Processor Run Control – Your New Favorite Time Saver!
Wait, what’s a Multi-Job Processor?!
Great question! Think of it as the next generation of the Job Builder—only better. This new modification will allow you to group multiple run controls together and kick them all off with a single click. That’s right, one click to run them all!
Why is this awesome?
Imagine bundling all your frequently-used jobs—daily, weekly, or even monthly—and running them all at once. No more setting them up one by one, no more forgotten steps.
[cid:605afc4d-854c-43ea-82af-1904144232c6]
Example Multi-job Run Control
Here’s how it can help you:
* Simplified Scheduling: If you submit jobs to Production Scheduling, you’ll only need to schedule one job. Less paperwork. Less confusion.
* Daily Efficiency: Group your routine jobs and run them all with a single click. Quick and easy!
* No More Interruptions: If you get pulled away mid-process (thanks, ringing phone!), this ensures all your jobs still get done—and in the right order.
In short, the Multi-Job Processor can save serious time, reduce errors, and keep your processes running smoothly.
A Quick Heads-Up...
While this tool is powerful, there’s one important caveat:
* If your jobs can’t run at the same time even if another campus is running, this might not be the best fit for Production Scheduling. That team can only “see” the Multi-Job Processor job itself, not the individual jobs inside it, so they won’t be able to prevent overlapping runs.

The process is still being tested and no PRD date has been set yet, but a full Business Process Guide<https://urldefense.com/v3/__https://uofnebraska.sharepoint.com/:w:/r/sites/… > is available on SharePoint. And if you have any questions, feel free to reach out to Shareen—she’s happy to help!

2025 Accessibility Review Project Update
As NeSIS embarks on the 2025 Accessibility Review project, we have been evaluating strategies for how best to conduct the review and developing a process for implementing any required changes. NeSIS identified an axe-core tool that was loaded in the lower instances that automatically runs in the background and collects accessibility analytics on webpages as they are utilized during normal work activity.
NeSIS recently conducted an internal testing session to generate data and are currently working on evaluating the results. We plan to refine this process and have it collecting data during the PUM testing cycle this fall. This will allow us to leverage the testing already being done, simultaneously minimizing campus effort, and maximizing data coverage.

NeSIS Team Successfully Upgrades WebFOCUS to Version 9.2.3
The NeSIS team is pleased to announce the successful upgrade of WebFOCUS from version 8.2.07.28.10 to version 9.2.3. This significant enhancement brings improved performance, modernized features, and a more robust reporting environment for campuses across the system.
This upgrade was a true team effort. Campus WebFOCUS administrators played a pivotal role by providing detailed insights into existing processes, conducting thorough testing, and validating functionality in the new environment. Their expertise ensured a smooth transition with minimal disruption. The production scheduling team contributed by rigorously testing and implementing scheduling features in the upgraded system, ensuring continuity and reliability of scheduled reports.
Support from the hosting and systems teams was instrumental in managing hardware resources, configuring F5 ASM and URLs, and facilitating the database migration. Their behind-the-scenes work laid the technical foundation for a stable and secure environment. Additionally, the security operations team ensured that campus users retained consistent access to the new systems, maintaining the integrity and accessibility of data throughout the transition.
This upgrade marks a major milestone in our ongoing commitment to providing reliable, efficient, and secure reporting tools for our campuses and we look forward to investigating new features and functionality with the campus WebFOCUS admins.
Thank you to all teams involved for your dedication and collaboration!

I am thrilled to announce Geoff Putney as the NeSIS award winner for his exceptional work in many recent projects, most notably the WebFOCUS upgrade. This upgrade required months of planning and preparation. It's a very complex system with a large learning curve that Geoff has taken on for us to become our resident expert administrator. Geoff's work ethic and can-do attitude has been invaluable, and I know this was not an easy task. I'm deeply grateful for Geoff's hard work and dedication to taking on this role and accomplishing such a successful implementation. During the same timeframe Geoff has also contributed to other upgrades of Sunapsis, EMS and PeopleTools. Geoff is an outstanding rock star who is much appreciated - thanks Geoff!!

2025 Accessibility Review Project
The Department of Justice updated regulations for Title II of the Americans with Disabilities Act (ADA) and specified technical requirements in rule 2024-07758<https://urldefense.com/v3/__https://www.federalregister.gov/documents/2024/… > requiring how to ensure web content and mobile apps are accessible to people with disabilities. NeSIS has kicked off the 2025 Accessibility Project which will conduct a review of NeSIS web content to ensure compliance with the Web Content Accessibility Guidelines (WCAG) Version 2.1 Level AA.
The evaluation will assess NeSIS-owned applications for compliance to ensure all users can reliably use our applications. The review will include both public content (login pages, public class search, eform-based admissions applications), and credentialed content (dashboards, eforms/workflow and third-party systems). A communications plan is being developed to keep stakeholders informed of project progress.
