I would like to thank you all for a successful implementation of the PeopleTools 8.61 upgrade. This milestone is a testament to the dedication, hard work, and collaboration you all showed and it wouldn't have been possible without everyone's contributions. Thanks to your early and thorough testing, we were able to identify and resolve many issues in TST and QA before they became much larger issues in PRD. Your efforts ensured that the upgrade was not only completed on time but also met the highest standards of quality and reliability. This achievement is a collective one, and it underscores the power of teamwork and collaboration. Director's Report
Requesting Information
NeSIS has two RFI's (Request for Information) open to learn more about modern reporting tools and integration tools.
The reporting tool RFI is being issued to identify potential software solutions for improved reporting, workflows, analytics capabilities, and data management practices. We will evaluate reporting solutions supporting our long-term goals that can position us well for future needs. The desired future state objectives include low technical barriers for users, efficient data integration, excellent support model, self-service reporting capabilities, rapid report distribution, streamlined tools and reporting languages, scalable reporting, enhanced reporting services, and resource optimization.
The integration tool RFI is geared toward our learning about options available for flexible, strong, diverse communication protocols, prebuilt application connectors, and various data quality, routing, and orchestration integration flow development and life-cycle management tools. The desired future state objectives include efficient data integration, resource optimization, single platform to handle most use cases, best practice capabilities, low/no code platform for speed of use and learning curve by technical and functional staff, superior monitoring, error handling, and documentation.
Both RFIs are intended to inform ourselves of possibilities as contract renewals arise in the event we determine we would benefit from modernizing our architecture for future strategies. We anticipate vendors and implementors scheduling demonstrations in early summer and we’ll post a schedule for those interested and able to join in learning about these tools.

Saranga Jayaraman has been given a well-deserved NeSIS Award. Saranga has asked for growth and learning opportunities to develop his leadership skills and has stepped up to take on duties to assist with contract renewal tracking, ITS RFC voting and communication, team device orders and priority tracking, and United Way fundraising coordination, and will be assisting soon with develop code reviews. Saranga has a can-do attitude and his initiative to help in so may ways is greatly appreciated.

Spring Cleaning and Yearly Reminders
It is that time of year when many items are being reviewed to ensure data integrity and good marks on audit reports. Here are a few items and reminders that are particularly relevant this time of year but are good to know all year round.
List of Integrations and Extracts
The STAMP team conducts reviews of various access in preparation of the annual visit by the auditors. More information on the work that they do can be found in last month's eNews. The campuses are also assisting with an audit request project which is identifying all of the integrations, data extracts and third-party systems that interact with NeSIS. Please take a look and add or remove any items that are missing or are no longer being used.

Data Clean Up Reports
Many types of clean up reports are run quarterly to ensure proper data management and best practices are being followed. These are shared with the campuses to address and retrain staff as necessary. Many of these reports aid in the 1098T process to ensure students have the data they need and the IRS has clean data. The Spring round of data clean up with just completed prior to the 1098T file submission to the IRS on March 21. Thank you to all that assisted. Campus Contact Lists
Contact lists<https://uofnebraska.sharepoint.com/sites/EnterpriseServices/nesis/nesishome…> for projects, teams or other initiatives have been compiled<https://uofnebraska.sharepoint.com/sites/EnterpriseServices/nesis/nesishome…> to help maintain communication with the proper individuals through maintenance cycles, upgrades, issue resolution or troubleshooting needs - or just basic what’s going on information. Please assist the Functional Coordinators in maintaining the lists by letting them know of any turnovers or changes in responsible parties so that we can ensure everyone who needs to know something is communicated with on what is going on with the different modules or products NeSIS manages.
Duplicate ID Prevention and Resolution
Preventing and resolving duplicates is on many people's minds as it is a daily item. A duplicate can be a person record or an external organization record. The person duplicate resolution process has really evolved over the years. There is a duplicate form in Firefly that allows us to track and compare two ids with each other which sends a communication to the group of the findings and decision. Workday/HR was added as a system of record for NEBMED along with SAP/HR (NU/SC), SIS - PSNU and SIS - PSSC. We also have Sunapsis (iGlobal), the international system for students and employees, which receives data feeds from both SAP/HR and SIS for NU.
When a duplicate has been identified and a decision has been made about which ID to keep, we need to work with our campus teams to ensure all records are on the same NUID. This includes the HR systems as well as the student information systems and, as of 2019, Sunapsis. Since it receives data from HR and SIS, if that data is dirty in those systems, it is also in Sunapsis. The Sunapsis team needs to be alerted so they can clean up their system as well when the NUID to keep is decided on.

Communications/Notifications Best Practices
* Be aware of content contained in Communications/Notifications about a student (person) sent either internally to staff or externally to students themselves.
* Consideration should be given each time a communication/notification is drafted to ensure that you are not sharing too much information that could cause concern if found in the wrong hands or if a communication/notification were to be sent in error.
* Data Stewards should be aware of data elements that are being shared or provided in communications/notifications to ensure the safety of the student's identity or data.
* Too many data elements could be revealed if shared by mistake to another person or in the case of a compromised account.
* It is important that we are aware of what data elements are being communicated and to whom the potential issues if in the wrong hands.
Query Building Best Practices
* Queries should be built in a non production environment (DEV, TST or QA), thoroughly tested/validated and then migrated up to PRD.
* If an issue with a query is found in PRD, migrate it down to QA and fix and validate there and then migrate back to PRD.
* Public queries which are named appropriately can be migrated by users using the Query Migration Automation too<https://uofnebraska.sharepoint.com/:w:/r/sites/EnterpriseServices/nesis/nes…>l.
* The automated query move tool has limited availability during PeopleTools upgrades due to the fact that you can't use it to migrate queries between instances that are at different PeopleTools levels. If you need to move a query and are unable to, email nesis.query(a)nebraska.edu<mailto:nesis.query@nebraska.edu> to have it moved.
* Private queries will need to be requested to be migrated by emailing nesis.query(a)nebraska.edu<mailto:nesis.query@nebraska.edu> . Include the query name and what environment the query is in and what the destination is (not all moves need to be to PRD) - Example: Query name – from environment x to environment x . Please allow 24 hours for response time
User Checkout/Role Checkout in PRD Best Practices
* When checking out a role or user in PRD, checkout reasons should be inclusive of details that would assist if ever an auditor needs additional information or troubleshooting is required
* Reasons for checking out a role should be specific:
* Adjust enrollment for NUID, Course, Term
* Verbiage changes on eform: NBX_NEW_EFORM
* Add or Remove Workflow contact: Workflow IC UNX Visiting, NUID and/or email@campus
NeSIS and Sailpoint Test email password
* Emails from our non-production systems (DEV, TST, QA, etc.) are sent to a test email server. To validate processes that send emails, you will need to log into those servers to review those emails.
* The password to these servers is changed quarterly to increase security. There is an easy way to obtain so you shouldn't be storing it on your computer or shared with others.

Wrapping up Alliance 2025
Well, that’s a wrap on Alliance 2025! After an incredible time at the conference, we’re all back at our desks and diving back into the daily hustle. It was fantastic to reconnect with some familiar faces from Nebraska, including Steve Booton, Melissa Clanton, Matt Schill, Christy Tilford, and Michaela Grube. We also saw former NeSIS team members Daniel Brown, now with Michigan State University, and Denise Goin, now with Siera Cedar, and Mason White, former Peru State employee, represented the University of Maryland!
During the conference, I had the chance to attend several insightful sessions and walked away with some valuable takeaways. Here are a few highlights I’m excited to share:
* Oracle’s AI Ambitions: Oracle is serious about leading the AI charge. They’ve been in the game for a while, and they’re ramping up their efforts.
* Classic Plus Style Sheets: Big news – Oracle is investing in improving the Classic Plus Style Sheets, meaning the system’s look and feel will be getting a sleek, more fluid upgrade.
* Campus Solutions Updates: Oracle isn’t slowing down on Campus Solutions Student. They’ve got a lot on the roadmap, and we’re still looking at a solid 10 years of support on this product.
* Pro Tips: I picked up some neat tips and tricks for Equation Engine and PS Query that I’m eager to apply.
As a HEUG Ambassador, I had the privilege of attending the New Attendee Reception, which was such a great opportunity to meet fresh faces joining the HEUG community. It was fun, informative, and a perfect reminder of the value of being part of HEUG. Here’s a snap of some of the amazing HEUG Ambassadors!

Welcome, Taylor Kimbrough!
We’re excited to introduce Taylor Kimbrough as the newest member of our team! Taylor brings nine years of experience at the UNL Registrar’s Office, having worked in several roles, most recently as the Degree Systems Management Coordinator where she contributed to the UNL Stellic Implementation. She also spent significant time as the Registrar System and Student Records Coordinator, managing security access and helping with student records. While working at UNL, Taylor earned both her BA and MBA.
Outside of work, Taylor enjoys spending time with her family—husband Ryan, daughter Natalie (10), son Griffin (3), and their dog Lucy. A sports enthusiast, she loves cheering on the Huskers, KC Chiefs, and Detroit Tigers. Recently, Taylor has been diving into some fun new hobbies, including baking sugar cookies and quilting. On top of all that, Taylor just bought her first home, so she’s eager for all homeowner tips, tricks, and advice!
We’re thrilled to have her on board and look forward to the great energy and expertise she’ll bring to our team!

It's Internal Audit Season!
To ensure ongoing compliance and mitigate security risks, the STAMP team initiated annual security audits in 2014. These audits are designed to review and validate user access privileges, ensuring alignment with current roles and responsibilities. This proactive approach is critical in preventing unauthorized access and addressing potential findings from regulatory audits, such as those conducted by the State Auditors. To help things go smoothly, if you get a request for additional information, please respond as soon as you can.
The scope of our audits includes not only access to Campus Solutions, but also the authorization levels for third-party applications. These audits are performed utilizing three specific tools, with oversight and engagement provided by the STAMP team and the direct involvement of Campus Security Coordinators.

PeopleTools 8.61 Upgrade Beginning
The NeSIS Team has begun the process of applying PeopleTools version 8.61 to Campus Solutions and analyzing changes and impacts. This is all in preparation for campus testing to ensure everything will be working correctly once the upgrade is applied to the Production instances. What does a HEUG Ambassador Do?
The responsibilities to being an Ambassador are somewhat fluid. Since this is the first year the program returned after a break, the responsibilities we are doing this year may not be what it will eventually contain.
We meet once a quarter via zoom to discuss how we can help the HEUG organization. This involves emailing HEUG members, posting on social media about upcoming events and posting to HEUG listservs. The first quarter our assignment is to promote the Alliance Conference. This is the main conference for the organization and they would like to get as many participants as possible. Our job is to support the HEUG organization with this goal.

Stellic Project Update
A huge amount of work has been completed in the past year on the project to implement the Stellic degree audit system for UNK, UNL and UNO.
The main outcome of the project is to consolidate and replace the previous degree audit systems at the three campuses to a centralized cloud product and maintain a single interface to SIS data for Degree auditing. This will give Academic staff better tools to meet enrollment goals and directly support NU President Gold's “Odyssey to Extraordinary” foundational pillar of “Extraordinary Teaching & Learning”.
Stellic is a modern, user friendly and intuitive degree audit tool that provides improvements for students, advisors, deans and directors. Students will gain better tools to plan their degree path and be able to register for the right classes at the right time based on a multi-year plan. Advisors will have a better interface for degree programs and the ability to generate reports that have customized filters and sorting for their student populations. Deans and directors can plan classes and instructors based on courses that are in the students' multi-year plan.
To handle the development load that this project requires, development teams from the three campuses and ITS/NeSIS are working together to build one set of interfaces that will work for all campuses. Members of the Stellic development team are Dan Kenny, Eric Wingert and Andrew Jacobsen from UNO, Jon Anderson, Scott Davis and Terry Pramberg from UNL and Mitch O'Neill from UNK and Meghna Jain, Jean Padrnos, Paul Swenson and Jay Killion from ITS/NeSIS. This model has proved to work very well.
Development is occuring in four phases:
* Phase I - Degree Audit/Student Planner - Initial development - 5 months, 9 developers
* Additions, Enhancements and Fixes done in two-week sprints
* File-based batch extracts
* Forty-nine (49) Student Information System interfaces - and counting!
* Additional integrations - Federated authentication, ID card photos, legacy degree audit systems
* In Production for UNK and UNO
* Phase II - Registration - Initial development - 4 months, 3-5 technical resources
* Bi-directional web APIs for real-time communication
* Eleven (11) endpoints for initial implementation
* In testing
* Phase III - Degree Clearance
* Four initial file-based batch extracts identified
* In requirements gathering
* Phase IV - Transfer Credit
* Vendor development
* Reporting/Analytics
* Planning stages for exporting data from Stellic
Currently, UNK went live with Phase I in the Fall of 2024, UNO went live in January 2025 and UNL is planning on going live in 2025 at a date to be determined. Work is currently underway on Phases 2, 3 and 4 and the Reporting module.
One of the benefits of a shared development process is that things were developed to be able to be utilized by all campuses instead of having three separate sets of code. The Nebraska State College schools have since decided to implement Stellic for their schools and should be able to take advantage of the work that's already been done for the University schools which should decrease the effort to get them up and running.

PeopleTools 8.61 Upgrade on the Horizon
The NeSIS Team has been gearing up for the next PeopleTools upgrade to version 8.61 which will be kicking off very soon. Additional information on expected changes, enhancements and dates will be made available in the next few weeks, but here are a few dates to keep in mind until then:

Help Wanted for HEUC Conference Planning Committee
If you have ever wanted to be part of the planning that goes into the HEUC conference every two years, now is your chance! We are looking for individuals that would be interested in helping with all aspects of planning the HEUC conference - from building the agenda to choosing the theme, deciding on food and/or finalizing all of the little details. Most of the planning will take place in the summer of 2026, but there will be some work beginning this fall. Eforms Reporting Made Easier with the Eforms Integration Process
Have you ever thought querying eforms data was difficult and/or time consuming? You must know how to use expressions to pull data out of xml tables structures - and since all eform data is in one big table, the query must contain additional search criteria to parse through all that data. Have you noticed your reports take longer to run than they used to as the eforms tables have gotten bigger over time?
What if you could move your eform data to its own dedicated table in a simple flat format, no developer required? Now you can! With the most recent enhancements to the Eform Integration Process, you are now able to map eform response data to a PeopleSoft record which can be placed on the query tree for easy reporting.

Excited to Serve as a HEUG Ambassador in 2025!
Starting January 1, 2025, I’m thrilled to announce that I’ve been selected for a yearlong appointment as a HEUG Ambassador, where I’ll have the incredible opportunity to promote the Higher Education Users Group (HEUG) and all the amazing resources it offers. My journey with PeopleSoft began with a deep appreciation for the wealth of knowledge shared on the HEUG website, and over the years, I’ve seen firsthand how valuable this community is.
In the past year, when the financial aid world was turned upside down, the Financial Aid Community on the HEUG became a lifeline, providing clear guidance and direction when the path forward was anything but clear. It was during times like these that I truly saw the power of being connected with such a strong, knowledgeable network.
When I was asked if I wanted to apply for the HEUG Ambassador program, I didn’t hesitate for a second! This is my chance to give back to an organization that has been a tremendous resource for us over the last decade. From financial aid to every functional area, the HEUG community has been a place where we’ve shared insights, learned from others, and found solutions to challenges through the website and at the Alliance Conferences.
Speaking of which, I can’t wait for the upcoming Alliance Conference in New Orleans, happening March 9 – 12, 2025! This is the event where professionals from all over come together to share ideas, spark creativity, and solve problems together. Whether it’s discovering
fresh approaches to old challenges or connecting with others who understand your role, the conference is an invaluable opportunity to learn and grow. I’ll be there, and I’d absolutely love to see even more people from Nebraska join us! Let’s make this a chance to collaborate, learn, and elevate our work together.
Exciting New Community on the HEUG Website: PS Query and SQL!
The HEUG website has just launched an exciting new community dedicated to sharing and learning all things PS Query and SQL! This community has already been buzzing with activity, and the best part? A growing library filled with valuable resources. Whether you're looking to deepen your knowledge of PS Query or need a place to ask questions when you hit a roadblock, this community is an incredible resource.
As of January 24, 2025, the library already boasts 57 entries, including PowerPoint presentations, helpful website recommendations, documents explaining specific topics, and much more. It's a fantastic space to dive in and expand your understanding of PS Query and SQL while connecting with others who share your interests and challenges.
Joining the community is easy! Simply log into the HEUG website, navigate to Interest Areas, and then to All Groups. From there, find the PS Query and SQL group, where you’ll see a Join button in the group description. After answering a few quick questions, click the Yes, join the group button, and you're in!

File Attachment Name Character Limit
As a reminder, there is a 128-character limit on the file name for attachments into Campus Solutions in such areas as checklist items. When somebody tries to upload a file that has a name longer than 128, the upload will fail and the user may get an error that may not be specific as to why it failed. To avoid frustration, you may consider adding some explanatory text to your upload areas about the character length restriction.

Hasniuj has done an outstanding on the AMP team since joining NeSIS in February 2024. She is a great teammate with a can-do attitude and has greatly contributed to the AMP team responsibilities including server upgrades, Oracle maintenance, Sunapsis primary service management, coordinating PUM maintenance, facilitating Issues Log meetings, and more. She is a quick learner and provides great customer service in her role. We are so happy to have her on our team!
Basic Navigation Training Module Available
If you are new to NeSIS (or even if you're not), you've probably realized that there is a lot to learn about PeopleSoft and the NeSIS system. A good place to start may be the new Basic Training<https://uofnebraska.sharepoint.com/sites/EnterpriseServices/nesis/nesishome…> tutorials in the NeSIS SharePoint Training & Support area. The PeopleSoft module will lead you through the basics of using PeopleSoft, including navigation, searching, adding and updating data, etc. The NeSIS Basics module contains information about the NeSIS Team and system such as reporting issues, the change request process, the NeSIS SharePoint site and other topics. The Campus Solutions module is still under development, but will contain information specific to the functional areas within Campus Solutions.

Shareen Thewke Named as an HEUG Ambassador for 2025
HEUG (Higher Education User Group) is a global user community for higher education. It's a space for institutions from all around the world to share their knowledge and experience, collaborate on common practices, and ask questions.
To help strengthen and grow the HEUG community, the HEUG Ambassador program was launched in 2025. NeSIS's own Financial Aid Functional Coordinator, Shareen Thewke, has been selected to be part of the inaugural group of Ambassadors for 2025. Shareen has been very active in HEUG for many years - as a presenter at several of the annual Alliance conferences, serving on the Financial Aid PAG (Product Advisory Group) for four years, and she is also an active participant in many of the discussion boards and communities within HEUG. The knowledge she has gained has been very beneficial to the NeSIS system and having her represent our institutions' needs to the larger HEUG community has also been invaluable.

Nebraska State Colleges Strategic Initiatives to Support Student Success
Over the past five years, the Nebraska State Colleges have engaged in strategic planning initiatives to strengthen the success of our institutions in meeting the needs of all students who choose to attend. The NSCS 2025 Strategic Plan was initially published in January of 2020.
As the 2025 Strategic Plan is closing in on its final year of reporting, Chancellor Turman has engaged the same process used five years ago to engage more than 30 stakeholders from across the System in evaluating the strides we have made in meeting these identified outcomes and identifying and establishing a new set of outcomes for the NSCS 2030 Strategic Plan. The new outcomes are each outlined below.
#1 Affordable Excellence for Every Student - The State Colleges are dedicated to providing an exceptional education without burdening students with excessive costs. By keeping tuition and fees low, we continuously seek opportunities to minimize educational expenses to ensure that financial constraints don't hinder academic success.
#2 Retention-Driven Excellence and Engaged Degree Attainment - The State Colleges prioritize retention-driven academic excellence by providing strategic support throughout students' educational journey (first year and beyond), connecting students to campus, community, and the region by providing continuous access to caring faculty/staff who offer multiple pathways for engagement.
#3 Open Access and Supportive Pathways - The State Colleges prioritize inclusive access, actively reaching out to underrepresented communities and our many partners to ensure that every student, regardless of educational experience, background, or regional proximity, can pursue affordable undergraduate and graduate degrees that support their careers for improving the communities that we serve.
#4 Workforce Development and Leadership - The State Colleges are leaders in cultivating a collaborative workforce by partnering with communities and producing graduates who are actively engaged as change agents who can meaningfully contribute to the economic development of the region and Nebraska in both rural and urban areas.
NSCS has evaluated many technology solutions which can assist in supporting the four NSCS 2030 Strategic Plan Outcomes. Four technology solutions have been identified and selected to add to the NSCS technology portfolio to provide an enhanced and efficient student experience, ensure courses are accessible to students for on-time degree completion, provide effective and timely communications via desired modalities, and provide a comprehensive and easy to use tool for degree planning for students.
CourseDog
As a result of the ongoing analysis of progress toward the Strategic Plan metrics, the State Colleges have recognized the need to optimize course offerings and curricular programs, to increase efficiency and ensure that students have access to the courses they need for on-time degree completion. CourseDog was selected to provide each State College with the ability to manage and evaluate course offerings and establish course schedules informed by campus-wide rules, instructional space availability, student demand, and instructor assignments/loads. The solution
will provide much-needed support for individuals across each campus who are responsible for building each term's course offerings. In addition, it will alleviate existing challenges that occur related to course conflicts, lack of additional sections of courses, and low-enrolled courses that result in last-minute cancellations; these all adversely impact students' ability to complete the requirements for their chosen program. CourseDog also provides a wealth of data analytics through the reports that are accessible and built into the platform.
Stellic
While some students can successfully navigate course catalogs and course schedules, others find this process daunting. Efforts have been made to address this issue through faculty and staff advising training, creation of sample plans of study, and posting of course rotation schedules; however, the reality is that each student's assigned faculty or staff advisors have varying skill sets related to these processes. For first-generation students (comprising 48% of the NSCS undergraduate student population) who may not have other sources of support, data indicate they have experienced the following challenges to successfully navigating these processes:
* Developing a plan of study, based on each College's course offerings and schedules;
* Successfully selecting courses each semester, in relation to degree requirements;
* Comprehending prerequisites and using certain courses to meet degree requirements; and
* Tracking completion of degree requirements and maximizing elective course options.
After reviewing several technology solutions, Stellic most comprehensively addresses the challenges outlined above. Stellic supports students' academic planning via the platform and assists in building each student's academic plan. It also recommends course enrollments for each term based on the existing course rotation schedules and established prerequisites for each program.
An additional area identified area of focus is communication. Current processes used by the State Colleges prioritize traditional methods of communication (direct mail and student emails) across numerous technology applications. The number of emails students receive from various campus offices and departments and technologies makes it difficult for them to identify critical information; in addition, students have self-identified they prefer other modes of communication. To address these challenges, NSCS has selected two technology tools to address communication needs across the system.
EdSights
The first technology solution is EdSights which is a "pre-built Adaptive AI framework that engages with students about once a week to keep and becomes increasingly personalized to each student over time". This tool engages with students over text messaging where "Check-Ins and Interventions are delivered to students via SMS text messaging by an institutionally-branded chatbot". With this tool, each College supplies its academic calendars and other student-related events. The tool then engages with students via SMS to ask questions on financial distress, academic engagement, overall wellness, and engagement with the campus community. The AI functionality instantly responds to the answers supplied by the students by indicating additional campus resources for questions and support.
Pathify
The second identified communication technology solution is Pathify. Pathify is an interaction hub that allows all technology tools to be integrated within a "centralized user experience unifying
everything". Pathify is available as an app for all types of devices and provides a single-panel display experience with all services available on the single-panel.
The System has initiatives, goals, and measures in place to improve the College experience and ultimately strengthen its support of student success. Outcomes are consistently measured, and adjustments are proposed at defined intervals. Strategic plan goals will continue to be measured and NSCS will continue to evolve based on analysis of the goals and the feedback from focus groups, faculty, staff and students.

Tracy Grauer is our newest member of NeSIS in the role of Student Finance Functional Coordinator. She has been working at the University of Nebraska for 18 years, in addition to receiving her degree at UNL. Some of you may know her from her days with the Production Scheduling & Output Management team. Tracy's most recent role was with NeBIS (Nebraska Business Information System) as an SAP Business System Analyst. When she is not working, she enjoys spending time with her husband, Aaron, two kiddos, Greta & Henry and dog, Rosie. Tracy also loves midcentury modern, art deco and brutalist design, music, traveling and spending time in nature. She looks forward to getting to know everyone and is eager to learn more!

Production Migration Deadlines for Year End
The last Production migration for 2024 will be on Monday, 12/16/24, with a signoff deadline on 12/13/24. The first Production migration for 2025 will be on Monday, 1/6/25, with a signoff deadline on 1/3/25. Please plan accordingly. Tip of the Month: Adding/Updating Social Security Numbers to not Cause Duplicates
It's the time of the year to make sure that data in the system is clean in order to successfully produce 1098-T tax forms for students. One of the data points that will cause issues is if two students have the same SSN entered for them. To reduce the chances of this happening:
* If you are updating a SSN manually, make sure you are using the Add/Update a Person or Add/Update a Person (Student) screen and NOT the Maintain Applications screen. There are edit checks that have been added to the Add/Update a Person screens to check for an existing matching SSN that are not available on the Maintain Application screen. These checks will let you know if you are adding a SSN that already exists for someone else.
* Pay attention to the message that is displayed if you enter a SSN that already exists. It will give you the NUID of the conflicting record which you can then use to research and/or resolve the conflict.
* If you click OK when you receive the message, the SSN is saved even though it's already being used. Click Cancel to not save the update so you can do some research first.
* OR, If the update is saved, make sure to research the other NUID and remove the conflicting SSN.

Eform Text Issue and Resolution
This last PeopleTools upgrade included a change to the text editor in Campus Solutions which now uses html tags to format text. This change caused the Insert Object and Variable value functionality in Eforms to no longer work for newly created objects. Existing eforms that were set up to use this functionality prior to the new editor to work, however, if those objects get updated, they will break.
Setup Example:

A Change Request (4479 - Fix Insert Object/Variable Functionality in Eforms) has been submitted to change the replacement string for inserting object/query values. Included in this change will be a script to update all of the places in eforms that contain that syntax. This CR will need to be migrated as part of a PUM/PeopleTools maintenance window to ensure ample testing of both new and existing eforms. In the meantime, please remember to always test eform changes in a non-production instance (TST or QA) before updating Production. If you find issues in a non-production instance, please contact the NeSIS Enterprise Tools Team (nesisetteam(a)nebraska.edu) prior to making any changes in Production.

Director's Report
Welcome to November! First, thank you all for joining us at UNK for the HEUC conference. As many of you have said, it was GREAT to see everyone and connect in person again. The planning team met this week, reviewed the survey results, and are very happy that most people enjoyed the conference and many of the sessions.
I was fortunate enough to attend EDUCAUSE a couple weeks ago and had several takeaways to think about. At one session the University of Wisconsin system shared about its Workday HR and Financial system implementation for 13 campuses into a single instance. They have had many issues and struggles in the project as you would expect, including extending their go-live date by 2 years (!) from July 2023 to July 2025. They shared that a key element to helping things move forward smoothly is building relationships. Early in the project the relationships weren’t there, and things were rocky. They recognized this as an issue and spent time investing in building relationships for the purpose of collaboration improvement and have seen dividends in that effort. This is something we can work on today – with that in mind, please fill out a short survey<https://forms.office.com/r/CCWQNihbdM> about your preference and we’ll report the results in the next eNews.
Another session underscored the importance of the work we do on the impact of student success. One way to put the idea is that everything outside of the classroom should be easy. Using technology to streamline and automate is our bread and butter - so we get that, and I know that is preaching to the choir. A faculty member in the session said, “Every minute IT saves me from stumbling over technology is another minute I can spend with students to make them successful.” It’s a powerful reminder that improving the faculty experience impacts the student experience.
And because you can’t go to a conference without talking about AI – Gartner shared some AI ideas by success category which I consider food for thought:
* likely wins are personal productivity, tutoring, assessment, grading, feedback
* calculated risks include career coaching and learner authenticity analysis
* marginal gains include recruitment and enrollment, student health monitoring
The final word on the AI topic from Gartner was a Peter Drucker quote: “The best way to predict the future is to create it."

It is not uncommon to hear someone sharing how Susan has stepped up to assist with her can-do attitude.

There are times when setting up the template to be used in a Communication Generation (Com Gen) that you need to sort data in a table but only need to display a few of the items in the query and not all of them. Maintenace Testing Reports
As everyone acquainted with NeSIS is well aware, it seems like we are constantly applying maintenance, which means we are constantly testing that maintenance. Why do we do this to ourselves? Our vendor Oracle provides three Product Updates (PUM) and one PeopleTools upgrade a year. NeSIS applies these upgrades to keep our system up to date and secure, and testing of the system must occur before it is applied to our Production environment to ensure that it is not causing any issues with our existing processes.
The NeSIS AMP Team is responsible for keeping the system running smoothly, apply maintenance and modifications and are the first team called when something doesn't go correctly when that maintenance is applied to Production. Therefore, the AMP team wants to reduce, if not eliminate, any problems found before they get to Production. Their hope is that maintenance testing will find any issues that can be addressed and fixed before it is applied to Production. While most maintenance cycles went smoothly, there were still things that were being missed and causing issues in Production.
So as a further check, the Functional Coordinators worked with their campus groups to identify the pages that must be tested and processes that need to work in Production. The AMP team then developed a set of reports that show which of these pages and processes have been run and which ones still need to be tested as we go through the maintenance cycle. These reports are run in our Test (TST) and Quality (QA) environments. The Functional Coordinators receive these reports daily and review them to see which pages and processes have been run and which ones still need to be tested. These reports, along with the dilligent testing by our campus partners, have helped find issues earlier in the testing process and reduce issues discovered in PRD.

HEUC 2024
Wow – what an event HEUC 2024 was! A big thank you to all presenters - we can’t do it without you! I learned a lot and I’m hopeful you all did as well. I’m looking forward to seeing feedback from the evaluations and what resonated most with you. I’m thrilled that we held the conference at UNK and heard many people mention they appreciated being on campus. I heard that the Birds of a Feather sessions are highly useful for you to share best practices. What did you think about the timing (September vs October in the past) and length of 2 full days? What else did you think? Please provide feedback – positive, negative, constructive, suggestions for future sessions or whatever you want to say!

WebFOCUS/SIS Reporting Discussion Follow-up
One of the general sessions during HEUC was a discussion of SIS reporting in general. Here is some more information as a follow up to that discussion.
The NeSIS team provides WebFOCUS infrastructure (licenses and servers), but our campus partners create 100% of its value. We've analyzed recent SIS reporting stats to understand our current state and placed the results in SharePoint.<https://uofnebraska.sharepoint.com/:p:/r/sites/EnterpriseServices/nesis/nes…>
We want to be proactive and enable your future reporting needs. One step may include a "Request for Information" from vendors to gather trends from the commercial sector. Over the next year, we hope to have conversations on the 2026 WebFOCUS software renewal around the following questions:
* Strategy: What are your future reporting strategies? Are changes needed to meet your future information needs?
* Training: What improvements and efficiencies are realistic on training initiatives for employees who report on SIS Data?
* Succession: What is your experience developing business continuity and knowledge transfer from your experienced report writers?
This collaborative approach, where your input is highly valued, will ensure that SIS data remains a valuable and sustainable resource accessible to campus communities.

As the NeSIS Admissions Functional Coordinator, each year Dixie works with the campus Admissions teams to review and update the almost 20 Admissions applications that NeSIS manages. The process starts typically in January, communicating with the campuses to gather requirements. She then tracks each item and works with the NeSIS and campus development teams to ensure the changes are made, and then spends countless hours with the campus functional teams to test each change. The updated applications for the next year are all ready to go by August.
This project requires a huge amount of time, communication, project management and organizational skills and Dixie does a masterful job of ensuring everything goes smoothly each year. Thank you Dixie!!

Moving Together Toward Tomorrow
HEUC 2024 is a few short weeks away and we are again looking forward to seeing familiar faces - and new ones, too! While the focus is on collaboration and learning, the true value is the time that is spent face to face, sharing ideas, experiences and laughs.
Here are a few things to remember before you come:
* Agenda - The most up to date version of the conference agenda can be found on the conference website<https://heuc.nebraska.edu/agenda>. This is also where you can access and complete evaluations of the sessions.
* Events - Also check out the conference website<https://heuc.nebraska.edu/conference-events> for details of the other events that are happening during the conference - the community outreach project, the Wednesday night Social Event and the Thursday morning group walk.
* Parking - The conference is being held at the UNK Student union, so all attendees will need to be parked in an appropriate spot. Details about parking options will be sent to registered attendees beforehand. Since parking is limited, we are asking attendees to carpool from their hotels or other meeting spots if possible.

Replace Campus Community Source Tables with Query Views
In troubleshooting an issue with queries not returning the correct data, the NeSIS team determined that there are several records that had additional security assigned to them that should not be used when building queries in PS Query. This could cause queries that include those records to not be pulling back data correctly. To resolve the issue, the impacted records in queries should be replaced with the view for that record. The list of impacted records and their corresponding view is below.

The NeSIS Team has developed a plan and timeline for addressing the use of the deprecated records to ensure the correct ones are being used:
* Done - Identify queries using the impacted records.
* In Progress - Remove security from any delivered queries that contain the impacted records. None of these delivered queries are currently being used and removing security to the queries will ensure they cannot be used going forward.
* In Progress – Remove security from any impacted records not being used. There are several additional records in addition to the ones listed above that are not currently being used. Removing security to these records will ensure that they cannot be used in queries going forward.
* In Progress – Rename the impacted records.
* In Progress – Reviewing the impact on WebFOCUS fexes. Will provide more information when a plan has been developed.
* 12/31/24 – Campuses update their queries that are currently using the impacted records to use the view record instead.
* A query has been developed (NBA_HR_SPLIT_TBLS_CAMPUS) that identifies the queries that need to be updated. It displays the user that wrote the query, the query name and the record that needs to be updated and which record to use instead.
* This query will identify any queries using the impacted records in dashboard query sections, eforms, workflow, but Message Center SQLs will need to be reviewed.
* 1/1/25 – Remove security to the bad records completely. This will ensure they cannot be used in queries going forward.

Requesting Access to Test Email Accounts
The process for accessing the test NeSIS email accounts has changed. The passwords for the Test NeSIS email account and the Sailpoint Test email account will be changing at least once a quarter, and you will need to complete a form to obtain the new password. This allows us to better secure these accounts and protect the data they contain and to track who has been given access. The passwords for both accounts were updated on 8/28/24.
A page is available in SharePoint<https://uofnebraska.sharepoint.com/sites/EnterpriseServices/nesis/nesishome…> with more details on what those email accounts are used for, links to the form for each account and instructions on accessing the email accounts once you have the password.

The schedule for Fall 2024 maintenance, including PUMS 31, 32 & 33 and PeopleTools patch 8.60.16 is below. Group testing sessions in both TST and QA have been scheduled.
* 10/3-10/4 - DEVNU/SC - Apply Fall 2024 maintenance
* 10/9-10/10 - TSTNU/SC - Apply Fall 2024 maintenance
* 10/11-10/25 - TSTNU/SC Open for testing & group testing sessions scheduled
* 10/22-10/23 - QANU/SC - Apply Fall 2024 maintenance
* 10/24-10/25 - QANU/SC - Load testing
* 10/28-11/13 - QANU/SC Open for testing & group testing sessions scheduled
* 11/13 @NOON - Signoff to move Fall 2024 → PRDNU/SC
* 11/17@8pm - 11/18@6am - PRDNU/SC - Apply Fall 2024 maintenance
* 11/24-11/25 - Fallback PRDNU/SC Date

Looking Forward to Another Successful Academic Year!
Hello all!
I’m not sure how it is August already but it’s that time of year to prep for the fall term as well as a strategic planning refresh. NeSIS is discussing the strategic plan during a retreat, and we’ll be sending an update soon. I am thrilled to have been named as the permanent NeSIS AVP going forward and expect that our planning discussions can evolve into a longer-term framework.
We are getting ready for HEUC 2024! We have some great sessions planned and look forward to getting together with everyone again in Kearney on the UNK campus. Just prior to that, the Oracle Student Strategy Council will have a virtual meeting in August and an in-person event at Oracle CloudWorld so there should be some innovative ideas and news to share from those meetings.

Here we go Again!!
First of all, thank you to everyone that helped identify and resolve almost 60 issues in our most recent PeopleTools 8.60 upgrade process. Those were 60 issues that would have a huge negative impact on processes in Production.
Now it's time to look forward to our next maintenance cycle for this Fall. After presenting several options to the campus Integration Team members, it was decided to apply PUMs 31, 32 and 33 together. The schedule is still being solidified, but testing in TST will likely begin in early October with a Production date in mid-November. The final schedule will be communicated via the weekly Change Control meetings and other group meetings.

June 2024 NeSIS Award Winner
The NeSIS Employee Shining Impactful Superstar award winner for June 2024 was Helen Frankhauser.

Helen is a PeopleSoft Security Analyst and brings a wealth of knowledge and experience to the NeSIS Team. Helen does a masterful job of coordinating the annual IT security audit performed by the State auditors which requires a lot of gathering information and answering questions/inquiries by the auditors. She also works with the NeSIS Team, ITS and campus security coordinators to ensure the security within PeopleSoft and other NeSIS-related systems as well as access management and general security principles. Thank you, Helen, for your hard work and dedication!

HUEC 2024 Update
The excitement is really building as the next HEUC conference is less than 2 months away! We are looking forward to two days of collaborating and learning from each other and the chance to reconnect with old friends and make new ones!!
The conference committee is in the process of finalizing the agenda and schedule with almost 40 general and breakout sessions. An announcement will be made when the website has been updated with those details.

A list of items that we will be collecting will be available on the HEUC website along with additional information on the other conference events.
