[cid:2cc38127-2cb3-4ec6-8cc0-88a7e841854a] 2025 Accessibility Review Project Update As NeSIS embarks on the 2025 Accessibility Review project, we have been evaluating strategies for how best to conduct the review and developing a process for implementing any required changes. NeSIS identified an axe-core tool that was loaded in the lower instances that automatically runs in the background and collects accessibility analytics on webpages as they are utilized during normal work activity. NeSIS recently conducted an internal testing session to generate data and are currently working on evaluating the results. We plan to refine this process and have it collecting data during the PUM testing cycle this fall. This will allow us to leverage the testing already being done, simultaneously minimizing campus effort, and maximizing data coverage. This significant enhancement brings improved performance, modernized features, and a more robust reporting environment for campuses across the system. This upgrade was a true team effort. Campus WebFOCUS administrators played a pivotal role by providing detailed insights into existing processes, conducting thorough testing, and validating functionality in the new environment. Their expertise ensured a smooth transition with minimal disruption. The production scheduling team contributed by rigorously testing and implementing scheduling features in the upgraded system, ensuring continuity and reliability of scheduled reports. Support from the hosting and systems teams was instrumental in managing hardware resources, configuring F5 ASM and URLs, and facilitating the database migration. Their behind-the-scenes work laid the technical foundation for a stable and secure environment. Additionally, the security operations team ensured that campus users retained consistent access to the new systems, maintaining the integrity and accessibility of data throughout the transition. This upgrade marks a major milestone in our ongoing commitment to providing reliable, efficient, and secure reporting tools for our campuses and we look forward to investigating new features and functionality with the campus WebFOCUS admins. NeSIS has kicked off the 2025 Accessibility Project which will conduct a review of NeSIS web content to ensure compliance with the Web Content Accessibility Guidelines (WCAG) Version 2.1 Level AA. The evaluation will assess NeSIS-owned applications for compliance to ensure all users can reliably use our applications. The review will include both public content (login pages, public class search, eform-based admissions applications), and credentialed content (dashboards, eforms/workflow and third-party systems). A communications plan is being developed to keep stakeholders informed of project progress. NeSIS eNews - April 2025 [cid:e6822b65-fac3-4ea7-b81d-b74905a08f05] [cid:62b6ef42-ab38-46f0-adf9-c21afa5fc2a4] Director's Report Requesting Information NeSIS has two RFI's (Request for Information) open to learn more about modern reporting tools and integration tools. The reporting tool RFI is being issued to identify potential software solutions for improved reporting, workflows, analytics capabilities, and data management practices. We will evaluate reporting solutions supporting our long-term goals that can position us well for future needs. The desired future state objectives include low technical barriers for users, efficient data integration, excellent support model, self-service reporting capabilities, rapid report distribution, streamlined tools and reporting languages, scalable reporting, enhanced reporting services, and resource optimization. The integration tool RFI is geared toward our learning about options available for flexible, strong, diverse communication protocols, prebuilt application connectors, and various data quality, routing, and orchestration integration flow development and life-cycle management tools. The desired future state objectives include efficient data integration, resource optimization, single platform to handle most use cases, best practice capabilities, low/no code platform for speed of use and learning curve by technical and functional staff, superior monitoring, error handling, and documentation. Both RFIs are intended to inform ourselves of possibilities as contract renewals arise in the event we determine we would benefit from modernizing our architecture for future strategies. We anticipate vendors and implementors scheduling demonstrations in early summer and we’ll post a schedule for those interested and able to join in learning about these tools. Saranga has asked for growth and learning opportunities to develop his leadership skills and has stepped up to take on duties to assist with contract renewal tracking, ITS RFC voting and communication, team device orders and priority tracking, and United Way fundraising coordination, and will be assisting soon with develop code reviews. Saranga has a can-do attitude and his initiative to help in so may ways is greatly appreciated. A big thank you to Saranga! [cid:d7cca736-cefb-44a1-9b04-8f4b1ed99c2b] Spring Cleaning and Yearly Reminders It is that time of year when many items are being reviewed to ensure data integrity and good marks on audit reports. Here are a few items and reminders that are particularly relevant this time of year but are good to know all year round. List of Integrations and Extracts The STAMP team conducts reviews of various access in preparation of the annual visit by the auditors. More information on the work that they do can be found in last month's eNews. The campuses are also assisting with an audit request project which is identifying all of the integrations, data extracts and third-party systems that interact with NeSIS. Please take a look and add or remove any items that are missing or are no longer being used. * SC integrations and extracts<https://uofnebraska.sharepoint.com/:w:/r/sites/EnterpriseServices/nesis/nes…> * NU integrations and extracts<https://uofnebraska.sharepoint.com/:w:/r/sites/EnterpriseServices/nesis/nes…> Data Clean Up Reports Many types of clean up reports are run quarterly to ensure proper data management and best practices are being followed. These are shared with the campuses to address and retrain staff as necessary. Many of these reports aid in the 1098T process to ensure students have the data they need and the IRS has clean data. The Spring round of data clean up with just completed prior to the 1098T file submission to the IRS on March 21. Thank you to all that assisted. Campus Contact Lists Contact lists<https://uofnebraska.sharepoint.com/sites/EnterpriseServices/nesis/nesishome…> for projects, teams or other initiatives have been compiled<https://uofnebraska.sharepoint.com/sites/EnterpriseServices/nesis/nesishome…> to help maintain communication with the proper individuals through maintenance cycles, upgrades, issue resolution or troubleshooting needs - or just basic what’s going on information. Please assist the Functional Coordinators in maintaining the lists by letting them know of any turnovers or changes in responsible parties so that we can ensure everyone who needs to know something is communicated with on what is going on with the different modules or products NeSIS manages. Duplicate ID Prevention and Resolution Preventing and resolving duplicates is on many people's minds as it is a daily item. A duplicate can be a person record or an external organization record. The person duplicate resolution process has really evolved over the years. There is a duplicate form in Firefly that allows us to track and compare two ids with each other which sends a communication to the group of the findings and decision. Workday/HR was added as a system of record for NEBMED along with SAP/HR (NU/SC), SIS - PSNU and SIS - PSSC. We also have Sunapsis (iGlobal), the international system for students and employees, which receives data feeds from both SAP/HR and SIS for NU. When a duplicate has been identified and a decision has been made about which ID to keep, we need to work with our campus teams to ensure all records are on the same NUID. This includes the HR systems as well as the student information systems and, as of 2019, Sunapsis. Since it receives data from HR and SIS, if that data is dirty in those systems, it is also in Sunapsis. The Sunapsis team needs to be alerted so they can clean up their system as well when the NUID to keep is decided on. Information is available in SharePoint about duplicates along with step by step guides on the entire process - from identifying the duplicates, making a decision on which one to keep and the clean up process: * NUID Dup ID Processes<https://uofnebraska.sharepoint.com/:f:/r/sites/EnterpriseServices/nesis/nes…> * External Organization Org ID Processes<https://uofnebraska.sharepoint.com/:f:/r/sites/EnterpriseServices/nesis/nes…> Communications/Notifications Best Practices * Be aware of content contained in Communications/Notifications about a student (person) sent either internally to staff or externally to students themselves. * Consideration should be given each time a communication/notification is drafted to ensure that you are not sharing too much information that could cause concern if found in the wrong hands or if a communication/notification were to be sent in error. * Data Stewards should be aware of data elements that are being shared or provided in communications/notifications to ensure the safety of the student's identity or data. * Too many data elements could be revealed if shared by mistake to another person or in the case of a compromised account.  * It is important that we are aware of what data elements are being communicated and to whom the potential issues if in the wrong hands. Query Building Best Practices * Queries should be built in a non production environment (DEV, TST or QA), thoroughly tested/validated and then migrated up to PRD. * If an issue with a query is found in PRD, migrate it down to QA and fix and validate there and then migrate back to PRD. * Public queries which are named appropriately can be migrated by users using the Query Migration Automation too<https://uofnebraska.sharepoint.com/:w:/r/sites/EnterpriseServices/nesis/nes…>l. * The automated query move tool has limited availability during PeopleTools upgrades due to the fact that you can't use it to migrate queries between instances that are at different PeopleTools levels. If you need to move a query and are unable to, email nesis.query(a)nebraska.edu<mailto:nesis.query@nebraska.edu> to have it moved. * Private queries will need to be requested to be migrated by emailing nesis.query(a)nebraska.edu<mailto:nesis.query@nebraska.edu> . Include the query name and what environment the query is in and what the destination is (not all moves need to be to PRD) - Example: Query name – from environment x to environment x . Please allow 24 hours for response time User Checkout/Role Checkout in PRD Best Practices * When checking out a role or user in PRD, checkout reasons should be inclusive of details that would assist if ever an auditor needs additional information or troubleshooting is required * Reasons for checking out a role should be specific: * Adjust enrollment for NUID, Course, Term * Verbiage changes on eform: NBX_NEW_EFORM * Add or Remove Workflow contact: Workflow IC UNX Visiting, NUID and/or email@campus NeSIS and Sailpoint Test email password * Emails from our non-production systems (DEV, TST, QA, etc.) are sent to a test email server. To validate processes that send emails, you will need to log into those servers to review those emails. * The password to these servers is changed quarterly to increase security. After an incredible time at the conference, we’re all back at our desks and diving back into the daily hustle. It was fantastic to reconnect with some familiar faces from Nebraska, including Steve Booton, Melissa Clanton, Matt Schill, Christy Tilford, and Michaela Grube. We also saw former NeSIS team members Daniel Brown, now with Michigan State University, and Denise Goin, now with Siera Cedar, and Mason White, former Peru State employee, represented the University of Maryland! During the conference, I had the chance to attend several insightful sessions and walked away with some valuable takeaways. Here are a few highlights I’m excited to share: * Oracle’s AI Ambitions: Oracle is serious about leading the AI charge. They’ve been in the game for a while, and they’re ramping up their efforts. * Classic Plus Style Sheets: Big news – Oracle is investing in improving the Classic Plus Style Sheets, meaning the system’s look and feel will be getting a sleek, more fluid upgrade. * Campus Solutions Updates: Oracle isn’t slowing down on Campus Solutions Student. They’ve got a lot on the roadmap, and we’re still looking at a solid 10 years of support on this product. * Pro Tips: I picked up some neat tips and tricks for Equation Engine and PS Query that I’m eager to apply. As a HEUG Ambassador, I had the privilege of attending the New Attendee Reception, which was such a great opportunity to meet fresh faces joining the HEUG community. It was fun, informative, and a perfect reminder of the value of being part of HEUG. Here’s a snap of some of the amazing HEUG Ambassadors! We’re excited to introduce Taylor Kimbrough as the newest member of our team! Taylor brings nine years of experience at the UNL Registrar’s Office, having worked in several roles, most recently as the Degree Systems Management Coordinator where she contributed to the UNL Stellic Implementation. She also spent significant time as the Registrar System and Student Records Coordinator, managing security access and helping with student records. While working at UNL, Taylor earned both her BA and MBA. Outside of work, Taylor enjoys spending time with her family—husband Ryan, daughter Natalie (10), son Griffin (3), and their dog Lucy. A sports enthusiast, she loves cheering on the Huskers, KC Chiefs, and Detroit Tigers. Recently, Taylor has been diving into some fun new hobbies, including baking sugar cookies and quilting. On top of all that, Taylor just bought her first home, so she’s eager for all homeowner tips, tricks, and advice! We’re thrilled to have her on board and look forward to the great energy and expertise she’ll bring to our team! To ensure ongoing compliance and mitigate security risks, the STAMP team initiated annual security audits in 2014. These audits are designed to review and validate user access privileges, ensuring alignment with current roles and responsibilities. This proactive approach is critical in preventing unauthorized access and addressing potential findings from regulatory audits, such as those conducted by the State Auditors. To help things go smoothly, if you get a request for additional information, please respond as soon as you can. The scope of our audits includes not only access to Campus Solutions, but also the authorization levels for third-party applications. This is all in preparation for campus testing to ensure everything will be working correctly once the upgrade is applied to the Production instances. [cid:ae5c424f-eec7-4d83-ae1a-415c4d228103] What does a HEUG Ambassador Do? The responsibilities to being an Ambassador are somewhat fluid. Since this is the first year the program returned after a break, the responsibilities we are doing this year may not be what it will eventually contain. We meet once a quarter via zoom to discuss how we can help the HEUG organization. This involves emailing HEUG members, posting on social media about upcoming events and posting to HEUG listservs. The first quarter our assignment is to promote the Alliance Conference. This is the main conference for the organization and they would like to get as many participants as possible. Our job is to support the HEUG organization with this goal. [cid:97192587-7a76-4f2c-9fc1-25e385598905] Shareen Thewke Functional Coordinator, Financial Aid [cid:285b84b1-e757-4ada-b1ef-c593f478d994] Stellic Project Update A huge amount of work has been completed in the past year on the project to implement the Stellic degree audit system for UNK, UNL and UNO. The main outcome of the project is to consolidate and replace the previous degree audit systems at the three campuses to a centralized cloud product and maintain a single interface to SIS data for Degree auditing. This will give Academic staff better tools to meet enrollment goals and directly support NU President Gold's “Odyssey to Extraordinary” foundational pillar of “Extraordinary Teaching & Learning”. Stellic is a modern, user friendly and intuitive degree audit tool that provides improvements for students, advisors, deans and directors. Students will gain better tools to plan their degree path and be able to register for the right classes at the right time based on a multi-year plan. Advisors will have a better interface for degree programs and the ability to generate reports that have customized filters and sorting for their student populations. Deans and directors can plan classes and instructors based on courses that are in the students' multi-year plan. To handle the development load that this project requires, development teams from the three campuses and ITS/NeSIS are working together to build one set of interfaces that will work for all campuses. Members of the Stellic development team are Dan Kenny, Eric Wingert and Andrew Jacobsen from UNO, Jon Anderson, Scott Davis and Terry Pramberg from UNL and Mitch O'Neill from UNK and Meghna Jain, Jean Padrnos, Paul Swenson and Jay Killion from ITS/NeSIS. This model has proved to work very well. Development is occuring in four phases: * Phase I - Degree Audit/Student Planner - Initial development - 5 months, 9 developers * Additions, Enhancements and Fixes done in two-week sprints * File-based batch extracts * Forty-nine (49) Student Information System interfaces - and counting! * Additional integrations - Federated authentication, ID card photos, legacy degree audit systems * In Production for UNK and UNO * Phase II - Registration - Initial development - 4 months, 3-5 technical resources * Bi-directional web APIs for real-time communication * Eleven (11) endpoints for initial implementation * In testing * Phase III - Degree Clearance * Four initial file-based batch extracts identified * In requirements gathering * Phase IV - Transfer Credit * Vendor development * Reporting/Analytics * Planning stages for exporting data from Stellic Currently, UNK went live with Phase I in the Fall of 2024, UNO went live in January 2025 and UNL is planning on going live in 2025 at a date to be determined. Work is currently underway on Phases 2, 3 and 4 and the Reporting module. One of the benefits of a shared development process is that things were developed to be able to be utilized by all campuses instead of having three separate sets of code. The Nebraska State College schools have since decided to implement Stellic for their schools and should be able to take advantage of the work that's already been done for the University schools which should decrease the effort to get them up and running. Eforms Reporting Made Easier with the Eforms Integration Process Have you ever thought querying eforms data was difficult and/or time consuming? You must know how to use expressions to pull data out of xml tables structures - and since all eform data is in one big table, the query must contain additional search criteria to parse through all that data. Have you noticed your reports take longer to run than they used to as the eforms tables have gotten bigger over time? What if you could move your eform data to its own dedicated table in a simple flat format, no developer required? Now you can! With the most recent enhancements to the Eform Integration Process, you are now able to map eform response data to a PeopleSoft record which can be placed on the query tree for easy reporting. The NSCS 2025 Strategic Plan was initially published in January of 2020. As the 2025 Strategic Plan is closing in on its final year of reporting, Chancellor Turman has engaged the same process used five years ago to engage more than 30 stakeholders from across the System in evaluating the strides we have made in meeting these identified outcomes and identifying and establishing a new set of outcomes for the NSCS 2030 Strategic Plan. The new outcomes are each outlined below. #1 Affordable Excellence for Every Student - The State Colleges are dedicated to providing an exceptional education without burdening students with excessive costs. By keeping tuition and fees low, we continuously seek opportunities to minimize educational expenses to ensure that financial constraints don't hinder academic success. #2 Retention-Driven Excellence and Engaged Degree Attainment - The State Colleges prioritize retention-driven academic excellence by providing strategic support throughout students' educational journey (first year and beyond), connecting students to campus, community, and the region by providing continuous access to caring faculty/staff who offer multiple pathways for engagement. #3 Open Access and Supportive Pathways - The State Colleges prioritize inclusive access, actively reaching out to underrepresented communities and our many partners to ensure that every student, regardless of educational experience, background, or regional proximity, can pursue affordable undergraduate and graduate degrees that support their careers for improving the communities that we serve. #4 Workforce Development and Leadership - The State Colleges are leaders in cultivating a collaborative workforce by partnering with communities and producing graduates who are actively engaged as change agents who can meaningfully contribute to the economic development of the region and Nebraska in both rural and urban areas. NSCS has evaluated many technology solutions which can assist in supporting the four NSCS 2030 Strategic Plan Outcomes. Four technology solutions have been identified and selected to add to the NSCS technology portfolio to provide an enhanced and efficient student experience, ensure courses are accessible to students for on-time degree completion, provide effective and timely communications via desired modalities, and provide a comprehensive and easy to use tool for degree planning for students. CourseDog As a result of the ongoing analysis of progress toward the Strategic Plan metrics, the State Colleges have recognized the need to optimize course offerings and curricular programs, to increase efficiency and ensure that students have access to the courses they need for on-time degree completion. CourseDog was selected to provide each State College with the ability to manage and evaluate course offerings and establish course schedules informed by campus-wide rules, instructional space availability, student demand, and instructor assignments/loads. The solution will provide much-needed support for individuals across each campus who are responsible for building each term's course offerings. In addition, it will alleviate existing challenges that occur related to course conflicts, lack of additional sections of courses, and low-enrolled courses that result in last-minute cancellations; these all adversely impact students' ability to complete the requirements for their chosen program. CourseDog also provides a wealth of data analytics through the reports that are accessible and built into the platform. Stellic While some students can successfully navigate course catalogs and course schedules, others find this process daunting. Efforts have been made to address this issue through faculty and staff advising training, creation of sample plans of study, and posting of course rotation schedules; however, the reality is that each student's assigned faculty or staff advisors have varying skill sets related to these processes. For first-generation students (comprising 48% of the NSCS undergraduate student population) who may not have other sources of support, data indicate they have experienced the following challenges to successfully navigating these processes: * Developing a plan of study, based on each College's course offerings and schedules; * Successfully selecting courses each semester, in relation to degree requirements; * Comprehending prerequisites and using certain courses to meet degree requirements; and * Tracking completion of degree requirements and maximizing elective course options. After reviewing several technology solutions, Stellic most comprehensively addresses the challenges outlined above. Stellic supports students' academic planning via the platform and assists in building each student's academic plan. It also recommends course enrollments for each term based on the existing course rotation schedules and established prerequisites for each program. An additional area identified area of focus is communication. Current processes used by the State Colleges prioritize traditional methods of communication (direct mail and student emails) across numerous technology applications. The number of emails students receive from various campus offices and departments and technologies makes it difficult for them to identify critical information; in addition, students have self-identified they prefer other modes of communication. To address these challenges, NSCS has selected two technology tools to address communication needs across the system. EdSights The first technology solution is EdSights which is a "pre-built Adaptive AI framework that engages with students about once a week to keep and becomes increasingly personalized to each student over time". This tool engages with students over text messaging where "Check-Ins and Interventions are delivered to students via SMS text messaging by an institutionally-branded chatbot". With this tool, each College supplies its academic calendars and other student-related events. The tool then engages with students via SMS to ask questions on financial distress, academic engagement, overall wellness, and engagement with the campus community. The AI functionality instantly responds to the answers supplied by the students by indicating additional campus resources for questions and support. Pathify The second identified communication technology solution is Pathify. Pathify is an interaction hub that allows all technology tools to be integrated within a "centralized user experience unifying everything". Pathify is available as an app for all types of devices and provides a single-panel display experience with all services available on the single-panel. The System has initiatives, goals, and measures in place to improve the College experience and ultimately strengthen its support of student success. Outcomes are consistently measured, and adjustments are proposed at defined intervals. Strategic plan goals will continue to be measured and NSCS will continue to evolve based on analysis of the goals and the feedback from focus groups, faculty, staff and students. Tip of the Month: Adding/Updating Social Security Numbers to not Cause Duplicates It's the time of the year to make sure that data in the system is clean in order to successfully produce 1098-T tax forms for students. One of the data points that will cause issues is if two students have the same SSN entered for them. To reduce the chances of this happening: * If you are updating a SSN manually, make sure you are using the Add/Update a Person or Add/Update a Person (Student) screen and NOT the Maintain Applications screen. There are edit checks that have been added to the Add/Update a Person screens to check for an existing matching SSN that are not available on the Maintain Application screen. These checks will let you know if you are adding a SSN that already exists for someone else. * Pay attention to the message that is displayed if you enter a SSN that already exists. It will give you the NUID of the conflicting record which you can then use to research and/or resolve the conflict. * If you click OK when you receive the message, the SSN is saved even though it's already being used. Click Cancel to not save the update so you can do some research first. * OR, If the update is saved, make sure to research the other NUID and remove the conflicting SSN. [cid:4eb50bd0-08c3-4db5-9f5e-03dbf54e9fe8] Eform Text Issue and Resolution This last PeopleTools upgrade included a change to the text editor in Campus Solutions which now uses html tags to format text. This change caused the Insert Object and Variable value functionality in Eforms to no longer work for newly created objects. Existing eforms that were set up to use this functionality prior to the new editor to work, however, if those objects get updated, they will break. Setup Example: [cid:d68ac7df-754b-4cfd-bb3a-7eb318ef28ac] A Change Request (4479 - Fix Insert Object/Variable Functionality in Eforms) has been submitted to change the replacement string for inserting object/query values. Included in this change will be a script to update all of the places in eforms that contain that syntax. This CR will need to be migrated as part of a PUM/PeopleTools maintenance window to ensure ample testing of both new and existing eforms. In the meantime, please remember to always test eform changes in a non-production instance (TST or QA) before updating Production. First, thank you all for joining us at UNK for the HEUC conference. As many of you have said, it was GREAT to see everyone and connect in person again. The planning team met this week, reviewed the survey results, and are very happy that most people enjoyed the conference and many of the sessions. I was fortunate enough to attend EDUCAUSE a couple weeks ago and had several takeaways to think about. At one session the University of Wisconsin system shared about its Workday HR and Financial system implementation for 13 campuses into a single instance. They have had many issues and struggles in the project as you would expect, including extending their go-live date by 2 years (!) from July 2023 to July 2025. They shared that a key element to helping things move forward smoothly is building relationships. Early in the project the relationships weren’t there, and things were rocky. They recognized this as an issue and spent time investing in building relationships for the purpose of collaboration improvement and have seen dividends in that effort. This is something we can work on today – with that in mind, please fill out a short survey<https://forms.office.com/r/CCWQNihbdM> about your preference and we’ll report the results in the next eNews. Another session underscored the importance of the work we do on the impact of student success. One way to put the idea is that everything outside of the classroom should be easy. Using technology to streamline and automate is our bread and butter - so we get that, and I know that is preaching to the choir. A faculty member in the session said, “Every minute IT saves me from stumbling over technology is another minute I can spend with students to make them successful.” It’s a powerful reminder that improving the faculty experience impacts the student experience. And because you can’t go to a conference without talking about AI – Gartner shared some AI ideas by success category which I consider food for thought: * likely wins are personal productivity, tutoring, assessment, grading, feedback * calculated risks include career coaching and learner authenticity analysis * marginal gains include recruitment and enrollment, student health monitoring The final word on the AI topic from Gartner was a Peter Drucker quote: “The best way to predict the future is to create it." View the full list of Quick Clips available in the NeSIS SharePoint site<https://uofnebraska.sharepoint.com/sites/EnterpriseServices/nesis/nesishome…> Maintenace Testing Reports As everyone acquainted with NeSIS is well aware, it seems like we are constantly applying maintenance, which means we are constantly testing that maintenance. Why do we do this to ourselves? Our vendor Oracle provides three Product Updates (PUM) and one PeopleTools upgrade a year. NeSIS applies these upgrades to keep our system up to date and secure, and testing of the system must occur before it is applied to our Production environment to ensure that it is not causing any issues with our existing processes. The NeSIS AMP Team is responsible for keeping the system running smoothly, apply maintenance and modifications and are the first team called when something doesn't go correctly when that maintenance is applied to Production. Therefore, the AMP team wants to reduce, if not eliminate, any problems found before they get to Production. Their hope is that maintenance testing will find any issues that can be addressed and fixed before it is applied to Production. While most maintenance cycles went smoothly, there were still things that were being missed and causing issues in Production. So as a further check, the Functional Coordinators worked with their campus groups to identify the pages that must be tested and processes that need to work in Production. The AMP team then developed a set of reports that show which of these pages and processes have been run and which ones still need to be tested as we go through the maintenance cycle. These reports are run in our Test (TST) and Quality (QA) environments. The Functional Coordinators receive these reports daily and review them to see which pages and processes have been run and which ones still need to be tested. These reports, along with the dilligent testing by our campus partners, have helped find issues earlier in the testing process and reduce issues discovered in PRD. Here is some more information as a follow up to that discussion. The NeSIS team provides WebFOCUS infrastructure (licenses and servers), but our campus partners create 100% of its value. One step may include a "Request for Information" from vendors to gather trends from the commercial sector. Are changes needed to meet your future information needs? * Training: What improvements and efficiencies are realistic on training initiatives for employees who report on SIS Data? * Succession: What is your experience developing business continuity and knowledge transfer from your experienced report writers? This collaborative approach, where your input is highly valued, will ensure that SIS data remains a valuable and sustainable resource accessible to campus communities. [cid:33836953-3091-4f70-b408-cee2a9c3ca5a] As the NeSIS Admissions Functional Coordinator, each year Dixie works with the campus Admissions teams to review and update the almost 20 Admissions applications that NeSIS manages. The process starts typically in January, communicating with the campuses to gather requirements. She then tracks each item and works with the NeSIS and campus development teams to ensure the changes are made, and then spends countless hours with the campus functional teams to test each change. The updated applications for the next year are all ready to go by August. This project requires a huge amount of time, communication, project management and organizational skills and Dixie does a masterful job of ensuring everything goes smoothly each year. Thank you Dixie!! Campus Updates from HEUC 2024 Conference The last session of the HEUC conference contained updates from each campus about what is happening on each campus. While the focus is on collaboration and learning, the true value is the time that is spent face to face, sharing ideas, experiences and laughs. July 2024 NeSIS Award Winner The NeSIS Employee Shining Impactful Superstar award winner for July 2024 was Frank Dolezal. Thank you, Frank!” [cid:2433167c-10da-4cac-af0f-58407eea58a6] Replace Campus Community Source Tables with Query Views In troubleshooting an issue with queries not returning the correct data, the NeSIS team determined that there are several records that had additional security assigned to them that should not be used when building queries in PS Query. This could cause queries that include those records to not be pulling back data correctly. To resolve the issue, the impacted records in queries should be replaced with the view for that record. The list of impacted records and their corresponding view is below. None of these delivered queries are currently being used and removing security to the queries will ensure they cannot be used going forward. * In Progress – Remove security from any impacted records not being used. There are several additional records in addition to the ones listed above that are not currently being used. Removing security to these records will ensure that they cannot be used in queries going forward. * In Progress – Rename the impacted records. * In Progress – Reviewing the impact on WebFOCUS fexes. Will provide more information when a plan has been developed. * 12/31/24 – Campuses update their queries that are currently using the impacted records to use the view record instead. * A query has been developed (NBA_HR_SPLIT_TBLS_CAMPUS) that identifies the queries that need to be updated. It displays the user that wrote the query, the query name and the record that needs to be updated and which record to use instead. * This query will identify any queries using the impacted records in dashboard query sections, eforms, workflow, but Message Center SQLs will need to be reviewed. * 1/1/25 – Remove security to the bad records completely. The passwords for the Test NeSIS email account and the Sailpoint Test email account will be changing at least once a quarter, and you will need to complete a form to obtain the new password. This allows us to better secure these accounts and protect the data they contain and to track who has been given access. The passwords for both accounts were updated on 8/28/24. I’m not sure how it is August already but it’s that time of year to prep for the fall term as well as a strategic planning refresh. NeSIS is discussing the strategic plan during a retreat, and we’ll be sending an update soon. I am thrilled to have been named as the permanent NeSIS AVP going forward and expect that our planning discussions can evolve into a longer-term framework. We are getting ready for HEUC 2024! We have some great sessions planned and look forward to getting together with everyone again in Kearney on the UNK campus. Just prior to that, the Oracle Student Strategy Council will have a virtual meeting in August and an in-person event at Oracle CloudWorld so there should be some innovative ideas and news to share from those meetings. First of all, thank you to everyone that helped identify and resolve almost 60 issues in our most recent PeopleTools 8.60 upgrade process. Those were 60 issues that would have a huge negative impact on processes in Production. Now it's time to look forward to our next maintenance cycle for this Fall. After presenting several options to the campus Integration Team members, it was decided to apply PUMs 31, 32 and 33 together. The schedule is still being solidified, but testing in TST will likely begin in early October with a Production date in mid-November. The final schedule will be communicated via the weekly Change Control meetings and other group meetings. [cid:1a9746cb-9f57-4431-9fdb-826e03d8b854] Helen is a PeopleSoft Security Analyst and brings a wealth of knowledge and experience to the NeSIS Team. Helen does a masterful job of coordinating the annual IT security audit performed by the State auditors which requires a lot of gathering information and answering questions/inquiries by the auditors. She also works with the NeSIS Team, ITS and campus security coordinators to ensure the security within PeopleSoft and other NeSIS-related systems as well as access management and general security principles. Thank you, Helen, for your hard work and dedication! We are looking forward to two days of collaborating and learning from each other and the chance to reconnect with old friends and make new ones!! It was a great group of R1 schools all using Oracle products and sharing strategies and plans. Here are a couple of takeaways I’m following up on. I’ve been added to the Oracle Student Advisory Council which is the group that is the “guardian of the 10-year plan” for Oracle PeopleSoft Campus Solutions. A past survey by Oracle to the group identified AI and integration simplification as the top needs. Oracle’s ability to natively embed AI into Campus Solutions is being researched. They believe it will take 6-9 months to determine if it’s architecturally possible and will announce more in that timeframe. On the integration front, Oracle is working with 1EdTech on Edu-API academic enterprise specifications to improve SIS to LMS or other academic systems that consume or process roster and/or grade data. There were many schools there that have implemented Oracle Cloud for HR and Finance and prepping for the Student offering some time in the future. There were many lessons learned shared about how governance and IT support are different in the cloud. Many spoke of preparing for the change by removing customizations that aren’t critical, business process reevaluation, and learning as much as they can (from other schools and consulting companies) in advance of the implementation. One presenter shared a philosophy of “not paving the cow path” meaning not every functionality in the old system will be necessary in the new system. On the flip side, if there’s a fence in the road, make sure you understand why it’s there before you remove it. I’ll be working to understand ways we can prepare as we continue to consider the drivers for change that make sense for us. [cid:4384529c-7e75-4603-bc56-4b6ef846bd9c] Shareen is the Financial Aid Functional Coordinator and always does an outstanding job of coordinating the many changes that happen in the FA area every year. This year has been especially challenging because of the FAFSA Simplification project and Shareen has more than risen to the challenge. She has spoken to many different groups about the timelines and challenges the campuses are facing, as well as tracking and coordinating the changes coming from Oracle and working with the campuses to ensure it goes smoothly. Thank you Shareen for your organization and willingness to tackle new challenges! [cid:10d7b941-4cd5-4d24-aef0-3529cf7ecd45] Paul is the Lead Developer for the NeSIS Team and works tirelessly to coordinate completion of the many Change Requests required to keep everything functioning and moving forward. Recently, the Stellic degree audit project brought along with it many Change Requests that required extensive development in addition to many other projects that also needed to be completed. Paul took the lead role on the Stellic project development of the many extracts, setup pages and modifications that were necessary to complete the project. Thank you Paul, for your hard work and knowledge on the Stellic project and over the years! Get a Move On!! There is exciting news regarding Query Writing!!! You can now move your own queries between instances and not wait for NeSIS to do it for you. This is not new news as you probably heard about it, however, I'll bet you haven’t thought about all the ways in which you can use this new tool. Below are some examples: * If you have ever run an existing query in PRD and - all of a sudden - you get an error. You can now move the Query to QA and work out the issues and then move it back to PRD when you have it fixed. * You can develop a query in TST and move it to PRD if QA is getting a refresh. * Do you work nights and/or weekends? You can move the query off hours and not wait for NeSIS. As a reminder, there is documentation<https://uofnebraska.sharepoint.com/:w:/r/sites/EnterpriseServices/nesis/nes…> provided to remind you how to use it. The process is very simple and very fast. We hope you take advantage of this new feature in your query writing to reduce the number of Query errors being discovered in our logs. [cid:90405d7d-db89-4ffe-9114-8ffcab16e29c] Upcoming Enterprise Tools Project Updates In the Fall of 2023, the Campus Community team decided to revisit all of the enterprise-wide Eforms and workflows to standardize names and email notifications to students. In April, changes to the NU Change of Campus, Intercampus and Residency projects went live. A big thank you goes out to the testers who took the time to test and validate those changes. A follow-up project for the Change of Campus form is planned for late this summer to incorporate additional changes requested by the Registrars. This fall work will begin on updates to the Immunization and Reverse Transfer projects for both NU and SC [cid:db01d561-7fce-43e7-a4cc-5a3c1138fa00] Susan Lee Functional Coordinator, Enterprise Tools [cid:eb167e2b-3f0e-443f-8c16-5ae4138696e2] Enhanced Disaster Recovery As part of the ITS DR Investment effort, the Enhanced DR project was initiated in August of last year to strengthen the resilience of our NeSIS systems. We are leveraging Oracle Cloud Infrastructure (OCI) services to establish a dedicated recovery zone that will take over critical workloads within 24 hours of a disaster or security incident. This zone will contain redundant computing, storage, networking, and data synchronization. The OCI resources will be isolated from our Lincoln data center to prevent cascading failures. We are synchronizing a copy of the QA database within the recovery zone for load testing and evaluating resource utilization and application performance. The Enhanced DR project is a significant step forward in safeguarding the critical business of the University, championed and funded as an initiative from the Office of the President. [cid:6c018ef1-5623-416a-b937-f28becd027fa] Frank Dolezal PeopleSoft System Admin, Lead Suzan Manthey to Retire May 17 After almost 31 years of service to the University of Nebraska, Suzan Manthey, Student Financials and Dashboard Functional Coordinator for NeSIS, will be retiring on May 17. On In July 1993, Suzan began her University of Nebraska career at UNL supporting the student information system for the Office of Registration and Records and later, the Office of Financial Aid. In 2011, she joined the NeSIS Team as the Student Financials Functional Coordinator. Suzan has done an outstanding job of coordinating the Student Financials and Dashboard areas including communication and collaboration with the campuses, and has become one of the NeSIS “Query Queens”. This edition of NeSIS eNews contains information about the NeSIS Issue Log and why it's important along with information on using the new NU Support system to submit and manage tickets. What is the NeSIS Issues Log for? The NeSIS Issues Log is an extremely valuable tool and has been available one way or another since 2010. From 2016 until now, almost 6000 issues have been reported and resolved by campus and NeSIS Resources. The NeSIS Team uses the Issues Log for a few different purposes. Firstly, it's used by NeSIS customers to report issues, errors or problems in the Production environments that need to be resolved right away. Secondly, the Issues Log gives users a way to report problems occurring in the non-production environments when testing new things such as enhancements, maintenance applications, or new processes. Identifying and resolving issues early in the development cycle is crucial in ensuring that business processes will perform as expected when they are moved to Production. What is the difference between the NU Support Client Portal and TDNext? The NU Support system contain two main components - the NU Support Client Portal and the TDNext Technician Portal. [cid:a55b20c4-720c-45f1-a841-3ce330cbcbcd] NU Support Client Portal The NU Support Client Portal is the self-service site for NU ITS customers which provides the following: * Services - Online Service Catalog which lists the services and systems that NU ITS provides/supports along with resources for those services. * Knowledge Base - Articles providing information about services, including user guides, troubleshooting steps, FAQs, etc. * Service Requests - Service request forms are available for services in the Service Catalog. * Quick Links - Access links to frequently used services and service request forms directly from the front page. * View your Tickets - After logging in, you can view tickets that you have previously submitted. If you just want to check on the status of your ticket, this is the quickest way to do so. All NU staff, faculty and students have access to NU Support, along with identified State College resources that need to submit and manage NeSIS tickets. [cid:9f0a7ecf-d238-4aae-a06c-7a13ada53977] TDNext Technician Portal TDNext is the technician portal where technicians will go to view and manage tickets. * Campus resources that need access to manage NeSIS tickets have access to TDNext. * You need to be assigned the NBA_NESIS_ITSM_ISSUE_AGENT role in PeopleSoft to access TDNext. If you don't have this role, contact your campus security coordinator. * The NeSIS Desktop should be used to view only NeSIS-related issues. * Other Desktops and reports can be created/used to view other views of issues. How do I submit a NeSIS Issue? There are three places to find the NeSIS Issues form that you can use to submit an issue to the NeSIS Team. AI is everywhere - I've probably attended more sessions around AI than anything else. It has an insane adoption rate: ChatGPT had 1M users within 5 days and 100M in 2 months - it is the fastest technology adoption rate to date. One presenter described it as simply math - AI is a giant, complex mathematical process that tries to solve your question with the body of knowledge of data you give it or exists in the known, public internet. But it has no idea what it is saying - only what it can compute. If you are asking AI for something, you are asking math...but it still needs people to work. Also, whatever goes into it becomes part of that public space so do not input anything that is not public information. One piece of advice on its use is tied to the much-reported upcoming 2025 "enrollment cliff" where higher ed enrollments will decline due to declining birth rates that began in the recession of 2008. Four years after the enrollment cliff will start a "knowledge worker cliff" meaning there will be far fewer people in the workforce with degrees to hire. The advice was to find ways now to utilize AI to save staff time and automate as much as possible in advance of an even more difficult hiring effort than we see today. If there are a lot of AI presentations here, there are almost as many cloud presentations as many schools are dipping their toes or jumping in the deep end and have a lot of things to share. There is much to learn and we'll need to begin preparation for whatever is to come - there are things we can be doing in the near term to get ready for what is next. I have also spent time familiarizing myself with the HEUG organization itself to comprehend the value we're able to get from that investment. If you're not aware, HEUG produces an annual report posted on the HEUG site that is a good resource for what is happening. Also - FYI - the 2025 Alliance conference will be held in New Orleans, LA. Finally, I have spent time with our Oracle reps including Nicole Engelbert, Oracle vice president of higher education development, who invited me to join the Oracle Product Advisory Group. I'm excited to engage in new ways to influence the future of Oracle higher ed products and connect with other thought leaders in the process. It is two full days of learning, sharing and collaboration and is a great time to meet face to face with your cohorts on other campuses and the NeSIS team. This year's theme is Together Toward Tomorrow which really demonstrates what we have learned over the years that we are truly better when we work together towards a common goal of serving our campuses. The conference is always more valuable with participation from our campus partners, so we are looking for contributions from you!! TeamDynamix is currently being implemented by NU ITS and offers a more modern interface with additional capabilities and more robust features. Anyone that currently has an "agent" license in Footprints to update and manage tickets will have a "technician" license in the new NU Support TeamDynamix portal. Query Migration Automation Enhancement The Query Migration Automation enhancement is now available in all NeSIS environments. To migrate private queries, continue to email nesis.query(a)nebraska.edu<mailto:nesis.query@nebraska.edu> * Query names must conform to NeSIS Query Name standards. * NU institution queries (prefix of NBK, NBL, NBM, NBO, or NBT) can only be copied to NU environments. * SC institution queries (prefix NBC, NBP, or NBW) can only be copied to SC environments. * NeSIS Queries (prefix NBA) can be copied to NU and SC environments. AI is everywhere - I've probably attended more sessions around AI than anything else. It has an insane adoption rate: ChatGPT had 1M users within 5 days and 100M in 2 months - it is the fastest technology adoption rate to date. One presenter described it as simply math - AI is a giant, complex mathematical process that tries to solve your question with the body of knowledge of data you give it or exists in the known, public internet. But it has no idea what it is saying - only what it can compute. If you are asking AI for something, you are asking math...but it still needs people to work. Also, whatever goes into it becomes part of that public space so do not input anything that is not public information. One piece of advice on its use is tied to the much-reported upcoming 2025 "enrollment cliff" where higher ed enrollments will decline due to declining birth rates that began in the recession of 2008. Four years after the enrollment cliff will start a "knowledge worker cliff" meaning there will be far fewer people in the workforce with degrees to hire. The advice was to find ways now to utilize AI to save staff time and automate as much as possible in advance of an even more difficult hiring effort than we see today. If there are a lot of AI presentations here, there are almost as many cloud presentations as many schools are dipping their toes or jumping in the deep end and have a lot of things to share. There is much to learn and we'll need to begin preparation for whatever is to come - there are things we can be doing in the near term to get ready for what is next. I have also spent time familiarizing myself with the HEUG organization itself to comprehend the value we're able to get from that investment. If you're not aware, HEUG produces an annual report posted on the HEUG site that is a good resource for what is happening. Also - FYI - the 2025 Alliance conference will be held in New Orleans, LA. Finally, I have spent time with our Oracle reps including Nicole Engelbert, Oracle vice president of higher education development, who invited me to join the Oracle Product Advisory Group. I'm excited to engage in new ways to influence the future of Oracle higher ed products and connect with other thought leaders in the process. The team leads and I selected Meghna Jain for all her hard work with the recent amount of effort on the TAST team. There is a heavy lift right now with the Stellic project and Meghna has been a fantastic asset on the project as well as covering new items to support the development operations that are always going on. Meghna has been a great asset on the team and fantastic teammate helping out in all the ways. She is a NeSIS Superstar vibe! The NeSIS team coordinates the Higher Education Users Conference (HEUC) every other year and this year's conference is scheduled for Wednesday, September 25 & Thursday, September 26 at the UNK Student Union on the UNK campus. It is two full days of learning, sharing and collaboration and is a great time to meet face to face with your cohorts on other campuses and the NeSIS team. This year's theme is Together Toward Tomorrow which really demonstrates what we have learned over the years that we are truly better when we work together towards a common goal of serving our campuses. The conference is always more valuable with participation from our campus partners, so we are looking for contributions from you!! If you or someone you know has a topic you would like to discuss, a project or initiative that your campus completed, or tips and tricks you have learned, we would love to hear about it. We are open to any time length - 30, 60 or 90 minutes - and any format. We would also like to know if there is a business process you would like to analyze and discuss in more detail, or a problem or question you have that could be addressed. TeamDynamix is currently being implemented by NU ITS and offers a more modern interface with additional capabilities and more robust features. Anyone that currently has an "agent" license in Footprints to update and manage tickets will have a "technician" license in the new NU Support TeamDynamix portal. Lori Brown will be giving a demo and short training session in the functional team meetings this month and after the weekly Change Control meetings on 3/7 & 3/14. Query Migration Automation Enhancement The Query Migration Automation enhancement is now available in all NeSIS environments. This new functionality allows you to migrate public queries, composite queries, and connected queries between PeopleSoft environments. Notes: * This process will migrate "Public" queries only. To migrate private queries, continue to email nesis.query(a)nebraska.edu<mailto:nesis.query@nebraska.edu> * Query names must conform to NeSIS Query Name standards. * NU institution queries (prefix of NBK, NBL, NBM, NBO, or NBT) can only be copied to NU environments. * SC institution queries (prefix NBC, NBP, or NBW) can only be copied to SC environments. * NeSIS Queries (prefix NBA) can be copied to NU and SC environments. The pace of change is ever increasing, and the list of upcoming projects continues to grow: Stellic, Transact, EMS, planning for HEUC '24, disaster recovery, Team Dynamix, privileged access management, admissions application cycle, and FAFSA simplification are just some of the projects in flight or on deck - and I know that list it not complete. The pressures of the enrollment cliff and budget shortfalls add stress and remind us of the criticality of our work and keep us focused - there is much to be done! That is why we work hard to foster a great spirit of teamwork amongst our coworkers and the importance of partnership with you all because - let's face it, we're all in this together! I joined the NeSIS Team as a PeopleSoft Oracle System Administrator in February. I graduated from UNO in August with my master's in computer science. Previously, I worked as a developer in Mediacom Communication for a brief period. Before that, I used to work as a research assistant in the Computer Science department at UNO. FAFSA Simplification To date, the FAFSA Simplification process has been simple! You want to know why? The financial aid offices haven't received any files yet! Ha! The FA Office on your campus can only laugh at this point or tears will start to flow. The FAFSA process for the 2024-2025 year is completely redesigned and all processes from the FAFSA have been delayed and changed. Here are some things you need to know: * Students and parents are able to submit a 2024-2025 FAFSA as of December 31, 2023. * Schools will not receive the files (results of the FAFSA submission) until the first half of March 2024. * Schools will be able to re-write reports and processes with the new information once the files are received. * Financial Aid Offers to students will be several weeks after the files are received by the campus. As we look at these dates and information, incoming freshman are not going to make decisions on what college to attend, if they live on campus, if/when they come to orientation until WAAAY later in the process. This will cause ripples for all areas of the campus, not just financial aid. I saw a quote by Joyce Meyer that I think fits our situation, "Patience is not the ability to wait, but the ability to keep a good attitude while waiting." [cid:image017.png@01DA5AA9.688069F0] Shareen Thewke Functional Coordinator, Financial Aid [cid:image018.png@01DA5AA9.688069F0] NU Support Client Portal Home Page Moving Toward a Dynamic Future In an effort to improve service to their campus customers, NU ITS has been working towards replacing Footprints, their current ITSM (IT Service Management) system which is used for various processes such as managing incident tickets, service requests, change requests, etc. The system that was chosen as a replacement is Team Dynamix (TDX), which offers a cleaner, more modern interface and many more capabilities. One exciting new feature is a client portal that is available to view/request services, view Knowledge Base articles and view tickets that you have submitted. An implementation team has been working for the past 6 months to get the system configured and ready all of the components for use. NU ITS is currently in a "soft launch" phase with a few select processes with plans to continue to move additional processes over and complete building the service catalog in the next month or two. The cutover process will be completed in May. NeSIS currently uses Footprints for our customers to submit issues found in production or during testing of modifications and/or maintenance packages, and will be also moving to TDX in March. All current Footprints users will have access to the TDX system to submit and/or work on tickets they may be assigned to as well as being able to access the client portal. More information will be coming on the details of the move, along with opportunities to learn more about the new system. [cid:image003.png@01DA3FD9.A7BD11D0] December 2023 NeSIS Award Recipient Saranga Jayaraman was chosen as the recipient of the December 2023 NeSIS (NeSIS Employee Shining Impactful Superstar) award. As many of you know, we receive many PRPs (PeopleSoft Release Patchsets) from PeopleSoft which contain small bug fixes or specific enhancements. These tend to be time sensitive and need to be applied and moved through the environments quickly. Saranga has become our PRP guru and masterfully navigates all of the other maintenance activities that are going on to ensure they are applied in a timely manner without causing any other disruptions. He is also always willing to help troubleshoot and resolve issues and is an invaluable AMP Team Superstar!! [cid:image004.png@01DA3FD9.A7BD11D0] There's a NEW Degree Audit System Coming to Town!! A degree audit system is essential to students to ensure they can successfully complete their degree. The requirements for degree completion are defined in the tool and available for students to track their progress and help them choose the correct courses. The NU registrars have collaborated to purchase a new degree audit system provided by Stellic and are in the process of configuring and implementing this new vendor-hosted cloud product. Upon completion of the project, each campus will be able to decommission various existing on-premise tools. The campus Registrars, SIS IT teams and NeSIS staff are working collaboratively to facilitate the various integrations by leveraging skillsets to create similar, when applicable, data extracts. NU ITS partners are also involved in various components, such as single sign on and project management. The projected go-live is for the Fall 2024 cohort of students, which will beging sometime in the April/May timeframe. More information will be given as the project progresses. [cid:image005.png@01DA3FD9.A7BD11D0] Immunization Projects Complete Last April NeSIS released a new NU immunizations eform which allows incoming students to input immunization data and securely upload vaccination records for the University institution they attend. Once submitted, the data and documents are automatically uploaded, and campus staff are assigned workflow tasks to review the information provided. Since its launch, 6184 NU students have used this new process to submit their required immunization records. Soon after the NU launch, NeSIS began working with the State Colleges to build an SC immunization eform and workflow. On January 8, 2024, the SC Immunization Project will be moved to the Production system and made available for students to begin using. With a new year comes another round of maintenance cycles. 2024 will begin with the first of three PUM upgrades. Three tentative schedules with Production dates in late March or late April have been provided to the campus Integration Team members to vote on which one would work best for their campus offices. If you have any feedback on the options, please provide it to your Integration Team member before then. Summer PeopleTools 8.60 Upgrade Following quickly on the heels of the Spring PUM is a PeopleTools upgrade to 8.60.
