Dear Colleagues,

You are receiving this email as a PI of an active project supported by the NSF SWIFT program. Please forward it to your Co-PIs.

Please find details about registration, hotel, and posters for the SWIFT PI meeting below.  The meeting is set for May 13-14 in Alexandra, Virginia, as part of the NSF Spectrum Week, which runs from May 13-17, 2024.

https://spectrumweek.org/

Registration:

The registration link is live: https://spectrumweek.org

Please register by April 19th so that we can better prepare for the meeting. We expect at least one PI/senior personnel per active award to register in person.

On the registration page, you will see three options.

IEEE DySPAN Registration: If you have already registered for or would like to register for IEEE DySPAN, please use this link and add the "NSF Spectrum Week Program 2024 Access" option.

NSF Spectrum Week Registration: Please use this link to register for only Spectrum Week events (except DySPAN) or only the SWIFT PI meeting.

NSMA Registration: Please use this link to register for the NSMA conference (including membership). During checkout, you can bundle NSF Spectrum Week access.

Hotel:

Hotel room blocks are available at the conference location (Hilton Arlington National Landing): https://spectrumweek.org/  Scroll to the bottom of the page. Spectrum Week will include six co-located events; the rooms may be booked soon. Please book yours early.

Poster:

SWIFT PI meeting will include poster sessions, allowing the community to interact and share their research findings and achievements.

We ask that each project (including collaborative projects) prepare (1) one poster and (2) record a 60-second video promoting the project. The videos will be played before the poster sessions to provide information to the attendees regarding each project. We will send separate instructions for you to upload your videos.

Please prepare a poster of size 48" x 36". The portrait orientation (48" in length and 36" in width) is encouraged. We don't have a specific template to use, but please consider including the following information in your poster:

1.  Project Title
2.  Project ID(s) (list all IDs if your project contains multiple awards across multiple institutions) and URL (if available)
3.  PI names and affiliations.
4.  Project Summary, Research Progress up to date (including both intellectual merit and broader impacts), and Remaining Tasks/Future Directions. Please make sure to include content from the whole team.

You will need to print the poster and bring it to the event site, while easels will be provided.

Guidance for SWIFT PIs on PI meeting attendance

We strongly encourage someone from your PI or Co-PI team to attend the full two days of the SWIFT PI meeting. This will maximize your interaction opportunities at the event. It will also enable you to contribute effectively to the discussion about the path forward for wireless and spectrum research, which will extend over the two days. If no single person can stay for two full days, please try to cover all sessions of the PI meeting through some combination of multiple team members.

We have scheduled poster sessions to promote in-depth interactions. It is very important that you are represented in the scheduled poster session. If none of the PI team members are available for your session, we ask that a postdoc or graduate student present the poster.

In the end, we respect that some awardee teams may not be able to attend the entire event; this should be a rare occurrence.

Best Regards,

Mehmet Can Vuran
