7/3/2025 will be a Declared Holiday (DECL) Please follow instructions below that apply to your situation:
Steps to Enter DECL for Hourly Bi-weekly paid employees (must choose one option):
1. For DECL Eligible Employees not working on 07/03/2025: Enter 8.00 hours of DECL for 07/03/2025 on their ESS timecard or request the hours via ESS Leave.
2. For DECL Eligible Employees working on 07/03/2025 and choosing to have the DECL hours banked and used later: Enter 8.00 hours REG on 07/03/2025 on their ESS timecard. Department Time Coordinators and Supervisors will need to manually track the banked time. When the employee chooses to use the banked time, the employee will enter 8.00 hours of DECL for the day chosen on their ESS timecard or request the hours via ESS Leave.
3. For DECL Eligible Employees working on 07/03/2025 and choosing to have the DECL hours paid: Enter the hours worked on 07/03/2025 as REG on their ESS timecard. Then, enter 8.00 hours DECL on a non-scheduled workday (i.e. Sunday, 06/29/2025) on their ESS timecard or request the hours via ESS Leave.
Steps to Enter DECL for Monthly Salary paid employees (must choose one option):
1. For DECL Eligible Employees not working on 07/03/2025: o Request 8.00 hours of DECL for 07/03/2025 in ESS Leave
2. For DECL Eligible Employees working on 07/03/2025 and choosing to have the DECL hours banked and used later: o No hours will be requested through ESS Leave on 07/03/2025. Department Time Coordinators and Supervisors will need to manually track the banked time. When the employee chooses to use the banked time, the employee will request 8.00 hours of DECL for the day chosen via ESS Leave.
ADDITIONAL IFORMAITON
* Temporary employees are not eligible for holiday leave and will not receive Declared Leave.
* Leave-eligible temporary employees may use a vacation day (VAC) or choose to go unpaid (UNPL).
* Unused DECL hours will not be paid out upon separation from the University.
For essential non-temporary employees required to work on Thursday, July 3rd, 2025 will receive payment for the hours worked and can take Declared Leave (hour for hour) at a later time. Please note that if this option is chosen, departments must manually track and grant leave hour-for-hour for the employee.
Important Notes:
* If another type of leave or regular hours worked has already been entered for July 3rd, it must be removed before DECL can be applied.
* Monthly Paid Employees can submit a Declared Leave request for July 3, 2025, through ESS Leave.
* Biweekly Paid Employees can enter 8 hours of Declared Leave (DECL) on their ESS timecard or submit a Declared Leave request through ESS Leave for July 3, 2025.
* Time entry for Monthly employees should be completed by 07/18/2025.
* Time entry for Biweekly employees should be completed by 07/10/2025.
